Hours/Shifts

Monday to Friday, 9am – 5pm, some evenings and weekends may be required.

Schedules are subject to change to meet departmental needs.

Reporting to the Supervisor, Employment Services, the Assistant Supervisor oversees digital media programs and other programs as assigned. The Assistant Supervisor will oversee the operations of Springboard's Recording Studio and Film Studio, Resource & Information Services, and maintain and manage a connection with Employment Services' partners and Funders. The Assistant Supervisor will assist with day-to-day operations in the absence of Employment Services and Youth Job Connection Supervisors.

Oversight, Engagement

  • Liaise with and build awareness within the community about the programs and services provided
  • Handle confidential information and manage/safeguard records as per organizational policies and procedures.
  • Ensure policies and procedures for collecting, collating and reporting information are consistently followed, and assist the department management team in providing supervisory support and leadership in;

o recruitment and retention

o attendance and performance management; discipline

o training and development

o staffing, scheduling and documentation of employee status and payroll information

o address issues around attendance, performance and behavior based on policies and procedures

  • Handle confidential information and manage/safeguard records as per organizational policies and procedures
  • Problem solve and follow-up with staff team and/or clients on any incidents or serious occurrences
  • Maintain effective open communication at all time across the department ensuring smooth flow of information.
  • Assess, develop, evaluate of programming for continuous improvement
  • Develop new and existing partnerships that are mutually beneficial all stakeholders and maintain professional relationships
  • Participate in development and fundraising activities
  • Effective facilitation of conflict resolution with staff team and timely response to issues mitigating potential grievance.
  • Problem solving through effective use of agency resources, e.g., HR, IT, Finance.
  • See that organizational goals are achieved in timely manner
  • Assist with employee engagement and managing staff in a unionized enviroment
  • Identify solutions for effetive and optimal service to clients
  • Consult with other Employment Sservices management staff and/or HR staff when dealing with HR matters.
  • Provide supervisory coverage in the absence of the Supervisor

Administration

  • Participate in development and fundraising activities and grant and proposal applications
  • Assist in managing the fiscal budget; review to ensure expenditures, including related documents, are in accordance to the approved budget and financial policies and procedures.
  • Create a program outline, and evaluate, develop/enhance and implement programs ensuring performance targets are met and, submit report findings to funders
  • Organize and implement work procedures and standards, including documentation and reporting requirements. Ensure policies and procedures for collecting, collating and reporting information are consistently followed
  • Consult with other ES management staff and/or Finance staff to resolve financial discrepancies
  • Keep the office organized, maintained, well stocked; equipment fully functioning and the office is clean and orderly.
  • Identify and address issues with field experts or resources e.g. IT or issues with physical facilities
  • Organize and implement work procedures and standards, including documentation and reporting requirements
  • Receive and distribute internal and external correspondence in accordance with departmental and organizational policies and procedures and legal standards
  • Maintain orderliness within the office ensuring cleanliness and observation of COVID guidelines
  • Ensure safety and security through safety inspections, reporting and addressing safety hazards and incidents
  • Proficiency in MS Office Suite to prepare correspondence and presentations, do scheduling and run reports.

Case Management and Client Services

  • Client evaluation to determine progress in assigned program areas and ensure readiness to progress within the program
  • Problem solve and follow-up with staff team and/or client on any incidents or serious occurrences.
  • ensure that best practices, policies and procedures are applied in the provision of services/delivery of programs
  • Problem solve on a daily basis with staff team and clients on program or service related matters
  • Ensure that best practices, policies and procedures are applied in the provision of services and delivery of programs
  • Knowledge of legislation relevant to the sector for issues outside the norm and/or absence of a departmental written guidelines.
  • Knowledge of intervention practices and strategies
  • Provide consultation to community groups around capacity building and co-operative local economic growth in the areas of employment, life skills and entrepreneurship.
  • Develop partnerships with community partners

WHO YOU ARE

Knowledge/Experience

    • Experience in a unionized environment.
    • Valid First Aid/CPR and Crisis Prevention and Intervention (CPI) certificates.
    • Knowledge of CaMS and POES database.
    • Ability to speak French is an asset.
