We are looking for a customer service driven Administrative Assistant to join the C-Era team on a temporary basis, of at least six weeks, with possibility of extension.

The Administrative Assistant is responsible for providing clerical and administrative support to the lead Community Manager(s). The Administrative Assistant is the liaison to the lead Community Manager(s) and interacts with internal and external customers including homeowners, vendors, board members and committee members.

Duties include but not limited to:

  • Perform administrative as requested by the Board of Directors and in accordance with the management agreement.
  • Effectively utilize management toolssuch as annual calendar, action item list, resolution worksheets, timed agendas, committee charters, procurement procedures, FY operating budget, etc.
  • Prepare Board packages according to established time frames.
  • Maintain unit and contract files relating to the operations of the Association.
  • Responsible for maintenance of Cinc Systems data base, including updating resident information.
  • Respond to emails, voicemails from both internal and external clients
  • Other duties as assigned.

Requirements

  • Knowledge of communities, condominium and homeowners associations is preferred
  • Strong written and verbal communication skills
  • Knowledge of Microsoft Office products (Word, Excel, Outlook, etc.)
  • Professional customer service skills.
  • Self-motivated, proactive, detail oriented and a team player.
  • Time management and time critical prioritization skills.
  • Post secondary education in Business Administration or equivalent
  • Condominium Management experience is considered an asset
