Bryony House is seeking an experienced Programs and Operations Manager to join our leadership team and play an important role in supporting our mission to provide a safe haven for women and their children experiencing intimate partner violence.

Responsibilities

Reporting to the Executive Director, the Programs and Operations Manager provides leadership to assigned teams and oversees programs, shelter operations, building maintenance, budgets and payroll administration. Specific responsibilities include:

Team Leadership & Supervision

  • Provide direct supervision and leadership to Outreach, Housing Support, Children's Counsellors and household staff, including regular individual and team meetings.
  • Lead recruitment, onboarding, training and performance management for assigned teams in consultation with the Executive Director.
  • Coordinate schedules, leave and coverage while balancing operational needs, approved budgets and collective agreement requirements.
  • Set clear expectations, address workplace concerns and conflict constructively, and support a respectful and inclusive workplace.
  • Apply organizational policies and the collective agreement consistently and support labour relations matters involving assigned teams.

Program Oversight

  • Oversee outreach, housing support and children's programming, ensuring services are coordinated, accessible and responsive to client needs.
  • Work collaboratively with the Shelter Manager to coordinate support across shelter and community services and address service gaps.
  • Review program documentation and support staff in navigating complex situations, escalating significant concerns when appropriate.
  • Oversee the Reaching Home housing project, including its budget, activities, outcomes, funder relationships and reporting requirements.

Shelter Operations & Building Maintenance

  • Oversee the daily functioning of the shelter building and household services, including cleaning, food services, supplies, household, and maintenance coordination.
  • Monitor building access, security, emergency readiness and operational risks in collaboration with the Shelter Manager and Executive Director.
  • Participate in the Joint Occupational Health and Safety Committee and support the development and implementation of operational and safety procedures.

Budget, Scheduling, & Administration

  • Manage assigned program, household and operational budgets, monitor monthly spending and take action to address variances or emerging cost pressures.
  • Coordinate schedules, leave requests and coverage for assigned teams while balancing operational needs, approved budgets and collective agreement requirements.
  • Manage and approve staff timesheets in PayWorks, reviewing hours worked, overtime, premiums and leave for accuracy and resolving discrepancies before approval deadlines.
  • Maintain accurate purchasing and expense records and support annual budgeting and forecasting.
  • Oversee timely and accurate HIFIS documentation for assigned programs, including supporting staff training, data quality and reporting.
Qualifications
  • Degree or diploma in Social Work, Women's Studies, Sociology, Psychology, nonprofit management, business administration or a related field, or an equivalent combination of education and experience.
  • At least five years of relevant experience, including three years of management experience with responsibility for supervising staff.
  • Strong experience in people leadership, performance management and conflict resolution.
  • Experience coordinating staff schedules and timesheets, along with budget management and financial reporting.
  • Experience with facilities, maintenance or other operational responsibilities.
  • Knowledge of intimate partner violence, trauma-informed practice, crisis intervention, harm reduction and the systemic barriers affecting marginalized communities.
  • Strong organizational, communication and decision-making skills with a commitment to confidentiality.
  • Proficiency with common workplace technology, with the ability to learn and use PayWorks and HIFIS.
  • Experience in a unionized workplace and/or IPV shelter, housing, outreach or children's services is considered an asset.
