Responsibilities

Acadia University is seeking a highly organized, detail-oriented, and service-focused Administrative Assistant, Alumni and Donor Relations to join our External Relations team. This position provides essential administrative, information management, and event support to the Executive Directors of Alumni Relations and Donor Relations, while also contributing to the broader work of the External Relations team.

The successful candidate will be someone who takes pride in providing exceptional service, is comfortable managing competing priorities, and understands the importance of professionalism, confidentiality, accuracy, and discretion when working with alumni, donors, university leaders, and members of the public.

As the Administrative Assistant, you will play an important role in keeping Alumni and Donor Relations operations running smoothly. You will manage calendars and correspondence, coordinate meetings and travel, support events, process financial documentation, maintain accurate constituent information, and assist with communications and donor stewardship activities.

You will also work with sensitive and confidential information and will have regular interaction with alumni, donors, prospects, senior administrators, faculty, staff, students, and members of the public. This is an opportunity for an experienced administrative professional who enjoys working in a collaborative environment and takes initiative in anticipating needs and finding solutions.

Qualifications
  • Completion of a general university undergraduate degree or the equivalent in education and experience.
  • Candidates must have excellent organizational skills with attention to detail and accuracy in record-keeping.
  • Proven experience delivering a high level of client service and demonstrated ability to think clearly, resolve issues, and work under pressure.
  • Proven ability to exercise sound judgment and maintain confidentiality when handling sensitive information.
  • Excellent interpersonal and communication skills, with the ability to build positive relationships and communicate effectively with students, faculty, staff, and external partners. A demonstrated commitment to providing inclusive, respectful service to individuals from diverse cultural, social, and lived-experience backgrounds is essential.
  • Applicants must be highly proficient in the use of Microsoft Office applications. Experience with database management is required; familiarity with Ellucian's Colleague Advancement database would be considered an asset.
  • Familiarity with Acadia University's academic programs, administrative processes, and policies is considered an asset.
  • The ability to work both independently and collaboratively as part of a team, demonstrating initiative, flexibility, and a commitment to continuous improvement.
