Position Summary
The Integrated HR Staffing and Scheduling Supervisor is a member of the Human
Resources leadership team and is responsible for the day-to-day leadership,
coordination, and supervision of the centralized staff scheduling department. Reporting
to the Integrated HR Staffing and Scheduling Manager, the Supervisor ensures timely,
accurate, and contract-compliant staffing decisions in a fast-paced, time-sensitive
environment. The incumbent plays a critical role in system-wide staffing decision-
making, continuous improvement initiatives, and the development, implementation, and
maintenance of a provincial orientation and training program for schedulers and
staffers.
The role provides leadership and operational oversight to the scheduling staff, ensures
compliance with multiple collective agreements and organizational policies, and
supports operational leaders through system-wide staffing recommendations aligned
with acuity-based staffing and established Standard Operating Procedures (SOPs).

Key Responsibilities


Operational Leadership
• Lead and supervise the daily operations of the Centralized Staff Scheduling
Department, ensuring timely and accurate staffing coverage across sites and
programs.
• Coordinate call-ins, assignments, and allocations of staff in accordance with
collective agreements, organizational policies, and legislative requirements.
• Assist the scheduling staff with urgent, complex, or high-risk staffing
requirements
• Guide and support the scheduling staff with scheduling processes, procedures,
and best practices.
• Ensure staffing decisions meet system-wide acuity requirements and support
safe, effective patient care delivery, operational needs, and collective agreement
provisions
• Allocate staff and manage call-ins, Provide precision staffing recommendations to
management using system-wide staffing data and acuity models
• Ensure compliance with organizational policies, standard operating procedures
(SOPs), and collective agreements.
• Act as a liaison between managers and the scheduling staff to resolve scheduling
issues and address daily operational needs.
Human Resources & People Management
• Provide direct supervision, coaching, mentoring, and support to the scheduling
staff.
• Assist in conducting performance management activities, including coaching,
discipline, and accountability measures in alignment with HR policies and
collective agreements.
• Participate in recruitment activities, including screening, interviewing, and
selection of the scheduling staff.
• Oversee and ensure completion of all required employment documentation and
processes.
• Support staff development through training, orientation, and ongoing
performance feedback.
Leadership, Training & Development
• Support the development, implementation, and maintenance of a provincial
scheduling orientation and training program.
• Ensure regular updates and maintenance of training materials
• Ensure accountability within the training program and monitor competency and
compliance.
• Promote continuous improvement through process review, data analysis, and
adoption of best practices.
• Demonstrate proficiency with computerized scheduling systems and related HR
software
• Serve as the initial point of contact for concerns raised by the scheduling staff
and resolve issues where possible; escalate to the Regional Scheduling Manager
as required.
• Support change management initiatives and continuous process improvement
within the scheduling function.

Required Qualifications


• Completion of High School
• Completion of a three-year Business or Office Administration program
• Minimum of five (5) years of scheduling experience
• Demonstrated leadership abilities in a scheduling or workforce management
environment
• Strong working knowledge of computerized scheduling systems (health care
setting preferred)
• Proficiency in Microsoft Word, spreadsheets, and database applications
• Proven ability to communicate and work effectively with individuals at all levels
of the organization
Combination of education and experience will be considered

Preferred Qualifications


• Recent scheduling experience in a health care or unionized environment
• Experience supporting or delivering training and orientation programs
• Knowledge of acuity-based staffing models and workforce analytic
