The Administrative Assistant provides confidential, high-quality administrative and coordination support to the Vice President, Business Development and the Regional Vice President, Business Development, Ontario. The role is responsible for managing complex calendars, schedules, meeting logistics, and selected key events, while ensuring efficient day-to-day operations and professional coordination with internal stakeholders, external clients, and consultants.

What You'll Do:

  • Provide dedicated administrative support to the Vice President, Business Development, Regional Vice President, Business Development and others as required.
  • Manage complex calendars, competing priorities, scheduling changes, and day-to-day coordination to ensure leaders are prepared and aligned.
  • Coordinate meetings end-to-end, including booking internal and external participants, securing rooms or virtual links, preparing agendas and materials, and tracking follow-ups as required.
  • Liaise professionally with external clients and consultants to schedule meetings and maintain a positive, responsive experience.
  • Support the planning and execution of selected key events, leadership meetings, offsites, and stakeholder sessions, including logistics, materials, invitations, and coordination.
  • Handle confidential and sensitive information with discretion and sound judgment while maintaining organized records and efficient administrative processes.

What You Bring:

  • Post-secondary diploma or degree and/or relevant working experience in administration or communication 5+ years of relevant work experience.
  • Relevant experience in an administrative support role, including calendar management, meeting coordination, and handling confidential information.
  • Experience as an Executive Assistant or supporting senior leaders in a fast-paced environment is an asset.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities and changing deadlines.
  • Excellent verbal and written communication skills, with professionalism when dealing with internal leaders, external clients, and consultants.
  • Demonstrated discretion and sound judgment in managing confidential and sensitive information.
  • Strong attention to detail and ability to prepare accurate meeting materials, schedules, and correspondence.
  • Ability to work independently, anticipate needs, and contribute to smooth executive operations and event coordination.
  • Strong technical proficiency with Microsoft Office tools and virtual meeting platforms.

Pay Range:
46,292 - 52,078 CAD

The Base Pay range may vary depending on the successful candidate or other relevant job-related factors such as knowledge, skills, qualifications, experience and education/training. In addition to Base Pay, eligible Medavie employees may participate in various performance-based incentive programs. Payments under these programs are discretionary and subject to both individual and organizational results.
