Title: Senior Coordinator - Talent Acquisition
Employee Working Location: Partially Virtual / Hybrid (Canada)
Employment status: 12 months Fixed term Full time
The Senior Coordinator - Talent Acquisition plays a key role in ensuring the smooth, efficient, and high-quality delivery of Talent Acquisition (TA) services. This position supports planning, implementation, and evaluation activities across the Talent Acquisition function, providing administrative, and technical expertise to strengthen operations, enhance stakeholder experience, and contribute to continuous improvement.
In this role you will:
- Support and coordinate recruitment activities for both Volunteer and Employee recruitment
- Standardize job postings using approved templates and act as a liaison between hiring managers, HR Business Partners, and Talent Acquisition Specialists (TAS) to ensure an exceptional client and candidate experience.
- Request translations for job postings as needed
- Initiate pre-employment checks (EPIC, Vulnerable sector check, Driver's Abstract) for candidates hired by TA Specialist
- Maintain and update trackers, databases, and monitoring systems for real-time data tracking.
- Conduct regular audits of trackers, Taleo (ATS) etc. to ensure data integrity.
- Ensure a positive experience foronboarding and offboarding TA members.
- Manage and maintain a centralized SharePoint document center containing operational standards, processes, guidelines, and tools.
- Support leadership in reporting and data management.
- Identify and propose process improvements to enhance efficiency and service delivery.
- Serve as a key link between Talent Acquisition, the Procurement Hub, and the Finance Department.
- Receive and track invoices in Excel; ensure timely payment by processing them through the CRC system (e.g., creating purchase requisitions in D365).
- Support the management of three Talent Acquisition inboxes.
- Complete required internal forms (Word, PDF, etc.) and maintain accurate financial and budget-related data in Excel.
What we are looking for:
- Qualifications include a minimum of 4-5 years' experience and a 1-2 year post-secondary certification/diploma and/or an equivalent combination of education and experience.
- Fluency in both official languages, French and English
- Proficiency in Microsoft Office applications (Word, Outlook, Excel, PowerPoint) and SharePoint is required.
- Ability to identify, investigate and analyze problems, identify root causes and risks, and apply technical, functional and organizational knowledge to develop solutions.
- Communication skills, diplomacy and empathy to interpret information and deliver advice, clarify client or stakeholder needs, offer solutions, and resolve escalations in new or somewhat sensitive situations.
- Experience in program or service coordination, including the development and implementation of program or service plans, budgets, and evaluation activities.
- Ability to identify opportunities for process creation and/or improvement to enhance efficiency and effectiveness in service delivery.
- Ability to understand data analytics to assess performance metrics and generate reports for management.
- Supports projects as needed
