The Project Manager supports the planning and delivery of the Nova Scotia Skills Competition by coordinating volunteers, managing documentation and registration, and leading event logistics (venue, catering, scheduling, materials coordination). This role works closely with the organizing team, partners, and volunteers to ensure a smooth, safe, and positive experience for competitors, educators, and industry stakeholders.

Key Responsibilities

  • Coordinate overall event logistics for the Nova Scotia Skills Competition, including venue planning, room layouts, equipment needs, catering, deliveries, and day-of schedules.
  • Manage competition registration processes and timelines (e.g., set-up of registration, monitoring submissions, confirmations, and communications with competitors/educators as required).
  • Collect, track, and organize required competition documents (e.g., waivers, permissions, safety forms, stakeholder/partner documentation), ensuring completeness and deadlines are met.
  • Recruit, schedule, brief, and coordinate volunteers; create volunteer roles/assignments and ensure appropriate on-site support and orientation.
  • Collaborate with the internal team to identify and secure required competition materials.
  • Support development and maintenance of master schedules (competition agenda, set-up/tear-down, volunteer shifts).
  • Provide on-site event coordination on competition day(s), including issue resolution, stakeholder support, and escalation to leadership when needed.
  • Supervise and mentor a co-op student, including task assignment, coaching, feedback, and monitoring progress on deliverables.
  • Contribute to post-event wrap-up activities such as document archiving, partner/volunteer thank-yous, and debrief notes.

Qualifications

  • Experience coordinating events, projects, or programs (logistics-heavy experience is an asset).
  • Strong organizational skills with the ability to manage multiple priorities, timelines, and stakeholders.
  • Experience working with volunteers and/or supervising students or entry-level staff (or demonstrated leadership capability).
  • Proficiency with common office tools (e.g., Microsoft Office/Teams, spreadsheets for tracking, shared files).
  • Experience updating websites and webforms.
  • Excellent written and verbal communication skills and a customer-service mindset.
  • Ability to work independently while collaborating effectively within a team.
  • Availability to work occasional evenings and/or weekends during peak planning and event delivery periods.
