The Administrative Assistant plays an important role in supporting the smooth and efficient operations of the Corporate Office. This position provides reception services, administrative support to executives and Corporate Office teams, and assistance to branch operations and CUA's subsidiaries, IFS and GBC. From coordinating mail and courier services to managing office supplies and assisting with executive-level tasks, the Administrative Assistant contributes to a professional, well-organized and service-oriented environment.

Responsibilities

Front Office & Reception Support

  • Be the welcoming face of our Corporate Office, ensuring a professional and friendly reception experience.
  • Manage courier shipments, incoming deliveries, and daily mail keeping everything organized and moving efficiently.
  • Greet visitors on an occasional basis and connect them with the appropriate team members.
  • Handle incoming phone calls with professionalism and accuracy.
  • Maintain an orderly, clean, and inviting reception area, kitchen, and meeting rooms.
  • Oversee postage machine maintenance and ensure supplies are well stocked.
  • Monitor inventory levels and distribute supplies to branch locations as requested.

Administrative & Office Coordination

  • Provide reliable administrative support to Corporate Office teams, including executives, support functions, and subsidiaries.
  • Prepare a wide range of documents including reports, correspondence, presentations, minutes, forms, and mail merges using advanced MS Office skills.
  • Maintain the Bring Forward (B/F) system to ensure timely submission of documents and internal deadlines.
  • File and retain records in accordance with established requirements.
  • Coordinate office repairs and maintenance, including communication with property management when needed.
  • Assist with various administrative tasks and projects as they arise.

Supply Management & Payment Processing

  • Coordinate supply orders for branches and subsidiaries while maintaining optimal inventory levels for Corporate Office.
  • Proactively track supply needs and reorder items before they run low.
  • Process supplier invoices accurately and promptly.
  • Build positive working relationships with vendors and conduct an annual review of key supplier arrangements to ensure they meet organizational needs and deliver cost‑effective value.
Qualifications
  • High school diploma or GED required.
  • Completion of a two‑year Office Administration program (or similar) from a recognized educational institution.
  • Minimum of three years' experience in an administrative support role or an equivalent combination of education and experience.

  • Excellent typing speed and accuracy.
  • Proven ability to prioritize tasks, manage multiple deadlines, and solve problems efficiently.
  • Sound judgment and a professional approach to managing a diverse workload.
  • Sharp attention to detail and a commitment to timely, accurate work.
  • Ability to work full‑time on-site in the Corporate Office.
