Through interpretation and application of established policies and procedures, the Process Specialist, Parking & Curbside Services is responsible for the daily process/accounting and operational functions necessary to facilitate parking and curbside services operations. This role facilitates key processes within this business unit and is required to demonstrate a high degree of accuracy and proactive skills. This position will support and backfill for the Parking & Curbside Services Manager in their absence and facilitate the communication of all pertinent information to the Manager as required.

Responsibilities

Financial Reporting/Reconciliation/Analysis

  • Assess, process and validate potential refunds for parking customers, work with Accounting Services and provide detailed analysis of the error and reason for refund

  • Create billing reports for employee parking, hotel parking packages, and ground transportation operators

  • Assist with parking/curbside service provider billing to ensure accuracy, carefully review all transactions

  • Provide information to the Manager to account for variance reporting for revenue and expenses

  • Assist in the development of budgets, forecasting and accruals

  • Track both car shortages/customer wait times and UBER pick-ups outside of the designated area and create trending reports to identify gaps and opportunities over time

Administrative/Customer Service:

  • Ordering of supplies for Parking and Curbside operations including service provider

  • Email correspondence to all stakeholders on various procedures and directives.

  • Proactive researching and reviewing of all files to understand the processes in place

  • Maintain database of employee parking passholders

  • Periodically assist with the development of specifications of RFPs

  • Create purchase orders for supplies for parking and curbside service operations

  • Review and respond to all inquiries pertaining to parking and curbside - internal and external inquiries.

  • Interact and assist Car Service operators with inquiries

Employee Parking

  • Primary contact for all airport stakeholders who require employee parking

  • Follow established processes to enter/update data from our Groundside Operations System

  • Activation/termination of employee parking requests

  • Troubleshoot all employee parking issues

Parking Operations:

  • Maintain car count daily/monthly

  • In response to parking inquiries, create letters and emails to internal and external customers

  • Follow up with contracted service provider to ensure all parking/curbside equipment works properly and assist with managing the service maintenance agreement with sub-contractors

  • Assist the manager in the process of parking passes for special events

Curbside Operations:

  • Facilitate the administrative portion of car inspections/license renewals/Macpass renewals, onboarding of new car service operators, pre-arranged operators, etc.

  • Assist Manager with overseeing and developing the operation of traffic circulation on landside, including the terminal curb(s).

  • Assist with commercial ground transportation activities, including buses, courtesy vehicles, taxis, limousines, and shuttle services

  • Assist the Manager with the car license compliance procedures

  • Establish Commercial Curb access for pre-arranged operators.

  • Assist with issues involving the rental car area, issues relating to traffic circulation, lighting, snow removal, additional parking requirements

  • Administer the Annual Airport Car Service (ACS) licensing process

  • Process ACS License Holders requests for change of vehicles, change of company, lost IDs, applications to sponsor drivers, etc. Including scheduling appointments, collecting payments, scheduling driver's exam, etc.

  • Coordinate and schedule Ground Transportation Committee meetings, including preparing the agenda, taking minutes and distribution to required parties, ensure follow up on action items in a timely manner

  • Maintain the ground transportation database and pre-defined messages to be displayed on the sign for New Digital Sign & Software

Qualifications

  • Post-secondary education in finance or accounting.

  • Minimum three (3) years' experience in an accounting environment

  • Experience in account reconciliations

  • Experience using Oracle an asset

  • Ability to be detail oriented is a requirement for this position

  • Demonstrated ability to manage difficult situations, while maintaining a high level of customer service

  • Demonstrated ability to learn new technology solutions

  • Be able to operate in a fast-paced environment with priorities changing throughout the day
