Purpose of Position:

To ensure that internal documentation, Manufacturer's Manuals and vendor/service provider documentation, documents, forms, manuals and other materials are current and revised in a timely manner to ensure the most up-to-date material is available.


Key Responsibilities:

Maintain Provision and Distribution of Technical Publications:

  • Coordinate the purchase of new documents and ensuring continued revision service for amendments including service bulletins, notices etc. from original equipment operators, vendors, customers, aircraft manufacturers, and other sources.
  • Update electronic and hard copy documents including Insertion of Temporary Revisions, Technical Information, Bulletins, Supplements, Technical Talks etc.
  • Log all manuals/publications in the computerized library data base (i.e., Trax and Teams.)
  • Manage document distribution and control.
  • Coordinate and carry out Flight Operations Onboard Library Campaigns (manual and document updates), other aircraft type technical data tasks as assigned by Publications Supervisor.
  • Maintain externally controlled documentation to ensure compliance with regulatory & company requirements.
  • Incorporate Jazz-approved material into externally controlled documents (i.e., TIBS and Supplements.)
  • Coordinate and monitor service providers and regulatory agencies to ensure timely updates are received.

Maintain documents, forms, manuals and other materials hosted in the Citrix environment:

  • Liaise with Information Technology (IT) to ensure software updates are installed within stated Regulatory and Company requirements.
  • Conduct User Acceptance Testing (UAT) of applicable software updates.

Research & Troubleshoot Publications:

  • Research documents and/or publications on OEM/Vendor/Aircraft Manufacturers websites to ensure data, pages, and publications match documents in inventory.
  • Review and confirm documents and manuals reflect the most current approved revisions.
  • Contact document owner/supplier for confirmation of distribution, revision discrepancies and adjust accordingly.

Administrative and Other Duties:

  • Research and supply information regarding the availability and cost of publications.
  • Price new document/publications and monitor/review invoices for accuracy.
  • Lift/handle manuals, boxes of printed material and similar items.
  • Travel as required and work occasional overtime.
  • Perform duties in accordance with established policies and procedures while giving primary consideration to personal safety, and the safety of coworkers and customers.
  • Perform other related duties, as assigned.

Key Qualifications:

Education

  • High school diploma or equivalent is required.
  • Post-secondary education in business, library sciences, business/records management or computer science is preferred.

Required Qualifications

  • Minimum 3 years’ experience using library applications and data management software, including formal document control (versioning, approvals, change tracking).
  • High level of proficiency in using:
    • Computer applications including database administration,
    • Microsoft Office Suite, including Word, PowerPoint, Outlook, and Teams,
  • Minimum 3 years’ experience working in an aviation operational or support role.
  • Excellent written, organizational, and oral communication skills.
  • English language fluency or working knowledge.

Preferred Qualification

  • Minimum 3 years’ experience working with OEM (Original Equipment Manufacturers) applications such as Bombardier and Embraer publications portals is preferred.
  • Minimum 3 years’ experience working with large, structured documents, including regulatory and non?regulatory manuals is preferred.
  • Minimum 3 years’ experience working with HTML, CSS and metadata standards is preferred.
  • High level of proficiency in using Adobe Acrobat Writer and Microsoft Access is preferred.
  • Intermediate level of proficiency in using Trax is preferred.
  • French language fluency or working knowledge is an asset.
