Job Summary: The Supply Chain Assistant is responsible for providing support to the supply chain manager, assisting in managing contracts and vendor relationships, supporting locations with the ordering process and inventory control, and also working with the finance department to make sure all invoices are matched correctly. Key Responsibilities:
- Review and process requisitions to ensure timely order submission, delivery schedules, and vendor terms.
- Manage administrative duties related to purchases, including tracking orders.
- Obtain quote from list of contracted vendors if necessary and where applicable.
- Review vendor quote and match to requisition.
- Monitor budget levels to ensure adequate funding is available prior to purchase.
- Create purchase order using a sequential numbering system that easily and effectively tracks issued requisitions.
- Monitor outstanding requisitions and where required, contact vendor to ensure quoted delivery dates are adhered to.
- Ensure all product pricing is up to date and as per agreements and where required liaise with vendors.
- Ensure all purchase orders are approved in accordance with VON Delegation of Authority approval thresholds.
- Verify packing slips against delivered products to ensure all items identified on the purchase order are received in good condition, and when necessary, contact vendors with any discrepancies.
- Maintain records on-site inventory and assist in providing monthly reports.
- Provide approved and coded vendor invoices to Accounts Payable for payment.
- Identify and implement tools and process improvements to increase effectiveness.
- Develop close working relationships with the SC and Finance teams.
- Maintains a good professional working relationship with suppliers/Vendors.
- Review purchasing agreements if applicable with vendors and maintain open lines of communications with those vendors.
- Promotes the strategy of VON and its role as an integrated community care provider.
- Promotes a safe and healthy workplace ensuring workplace conduct and activities are in accordance with the provincial Occupational Health and Safety Act and Regulations and compliant with the VON Safety Management System, including all Policies, Safe Work Practices and Procedures.
- Abides by all VON policies and work practices.
- Abides by all confidentiality and protection of personal information policies, regulations and practices and ensures appropriate safeguards are in place within their role.
- Works in collaboration with other staff in a team approach to service delivery.
- Works collaboratively with the finance and operation team to support the business objectives.
- Engages with outside vendors and buying group.
- High school diploma/GED required.
- 2 years of relevant experience preferred.
- Proficiency in Windows OS and MS Office Suite programs (particularly Excel).
- Requires an understanding of inter-related work processes to be able to adapt to differing assignments.
- Ability to work as part of a team as well as to work independently.
- Strong attention to detail and accuracy.
- Commitment to achieving results and meeting deadlines.
- Excellent oral and written communication skills.
- Demonstrated commitment to working in an environment with high confidentiality and discretion.
- Strong organizational skills with an ability to prioritize, multi-task and handle competing deadlines and work under pressure.
- A current and original copy of a satisfactory Criminal Records Check is required.
- A Vulnerable Sector Search and/or a Child Abuse Registry Check may be required.
- Willingness to travel regularly to support sites and attend meetings.
- Ability to speak French is an asset in French Designated areas.
- The use of Personal Protective Equipment (PPE) may be required.
