The Executive Assistant, Governance is primarily responsible for coordinating and facilitating the activities of the Board of Governors and Standing Committees to ensure effective and efficient delivery of administrative support to NSCAD's governance bodies. while maintaining and safeguarding the University's official records of governance.
The position is also responsible for the onboarding of new board members to ensure they have the basics of effective governance (e.g., board structures, bylaws, and resolutions) and overseeing training for all board members to ensure they have the skills, clarity, and confidence needed to fully engage in organizational decision-making.
- Work closely with and support the Chair of the Board, the President, senior administration, and Board committee chairs to ensure timely provision of information such as agendas, minutes, reports as required.
- To be well informed about the By-Laws and Act of NSCAD University, and rules of order.
- Maintain current knowledge of the status of initiatives of the University.
- To keep abreast of governance literature and governance training opportunities.
- Updates lists, By-Laws, and constitutions as necessary.
- Administrative oversight for the Board of Governors budget and P-card purchases for board related expenditures.
- Other duties in support of the President, the President's Executive Assistant and the Board of Governors, or sub-committees as required.
- Provides secretarial and administrative assistance to the Board of Governors and its committees.
- Attends and serves as recording secretary for all full Board and committee meetings.
- Maintains lists of members of all Board members, sub-committee memberships and current contact information.
- Coordinates and schedules all Board and committee meetings.
- Organize social activities related to the Board including but not limited to retirement, celebratory, or welcome receptions; and arranging for and attending Board retreats.
Bachelor's Degree in Business Administration, other relevant degree, or professional credentials are required along with a minimum of two years related experience or (an equivalent combination of training and experience) is required. Previous experience supporting a board is required. Experience working in a degree granting post-secondary institution is preferred. Proficiency using the Microsoft office suite of tools is required including accounting procedures and spreadsheet management. Excellent organizational, interpersonal, and written communication skills, as well as solid knowledge of office management and business procedures are required. Ability to retrieve, safeguard and maintain crucial, sensitive and/or confidential information pertaining to the administration of NSCAD University is required. Ability to work independently, reliably in a remote setting is required.
