ADMINISTRATIVE STAFF SPECIALIST I (BAND LEVEL 4)
Department of Facilities Management
(Contractual Position to March 31, 2027)

DUTIES
Reporting to the Administrative Staff Specialist III, the Administrative Staff Specialist I will be responsible for compiling and keying all payroll and leave for the Department, supporting the administration of recruitment activities, along with other administrative related duties for Facilities Management. Duties include compiling and keying payroll and attendance; reconciling and following up on documentation; compiling departmental temporary assignments biweekly; processing mileage claims; ordering supplies for administrative services; tracking competitions; coordinating interview committees, including scheduling, logistics, and preparation of interview questions; distributing interview packages; summarizing rankings for committee members; completing recommendations for job offers; conducting reference checks; collecting required trade certificates, driver's licenses, abstracts, certificates of conduct, etc.; collecting new employee documentation for HR processing; coordinating onboarding and orientation with appropriate managers and supervisors; assisting the training coordinator to ensure the required safety training plan is developed according to specific requirements for new hires; and performing other duties as required.
QUALIFICATIONS
Experience (3-5) in administrative work; completion of an undergraduate degree with a focus in human resources management or related field is required; or an equivalent combination of experience and training may be considered. The ideal candidate will have strong communication, organizational, analytical and writing skills. Proficiency in Microsoft Office Suite is essential. Experience using Banner HR and interpreting collective agreement language for payroll and leave processing would be considered assets.
SALARY $50,294 - $58,998 per annum (Non-Bargaining)
