Faculty of Nursing

(Contractual Position to November 30, 2027)

DUTIES

The Administrative Staff Specialist III provides high-level administrative and operational support to the Faculty of Nursing. Reporting to the Associate Dean (Undergraduate) and the Senior Administrative Officer, the incumbent is responsible for advising on a broad range of management and administrative matters, ensuring the accuracy, quality, and effectiveness of operations within the Faculty's Satellite Sites. Key responsibilities include coordinating and overseeing the administrative functions of the satellite sites; managing infrastructure and classroom support for all sites; assisting with purchasing, accounting, budgeting, and personnel administration; and supporting the preparation of annual budget submissions. The incumbent maintains accurate and comprehensive financial and accounting records, monitors and reconciles grant and contract accounts to ensure compliance with institutional and sponsor requirements, and assists with human resources and labour relations activities, including recruitment, job evaluation, payroll, leave management, and the administration of collective agreements. The role also involves developing, recommending, and implementing administrative systems, policies, and procedures to enhance operational efficiency; supervising administrative staff at satellite sites to ensure the effective delivery of administrative and financial services; and maintaining strong communication and collaboration with University officials on Faculty administrative matters. The incumbent oversees the planning and coordination of major Faculty events, such as ceremonies, recruitment initiatives, Faculty development and orientation days, and special functions, ensuring alignment with academic and institutional objectives. In this capacity, the incumbent leads event organization with support from the Communications Advisor and other Faculty staff. Additional duties include preparing annual, analytical, financial, and statistical reports; providing financial and administrative recommendations to senior leadership; supporting main campus operations as needed; and performing other related duties as required.

QUALIFICATIONS

Experience (3-5 years) in responsible administrative work; graduation with a university degree with major coursework in business, public administration, or organizational management is required; or an equivalent combination of experience and training may be considered. Strong skills in planning, supervisory management, problem-solving, effective relationship building, Microsoft Excel, and analytical thinking are essential. Knowledge of Banner, the administration of Collective Agreements, Microsoft Office software, and familiarity with Memorial University's policies and procedures are considered assets.

SALARY $64,361 - $87,763 per annum (Management and Professional)
