ADMINISTRATIVE STAFF SPECIALIST I (BAND LEVEL 5)

School of Human Kinetics and Recreation

(One Year Contractual Position)

DUTIES

The Administrative Staff Specialist I will be responsible for providing general administrative and financial assistance to the Senior Administrative Officer. Duties include performing a variety of financial and administrative services including reconciling monthly Banner statements, monitoring grants and special purpose funds, reviewing travel claims of faculty and staff for accuracy and compliance to University policy (including PDTER); coordinating the receipt, review and processing of a variety of purchasing, accounting and HR documents; supporting the Varsity team travel through the preparation of travel forms, arranging for cash advances for coaches and athletes, post-trip reconciliation, and coordinating travel reservations by booking airline tickets, accommodations, and ground transportation; supporting Varsity Athletics with summer camp registrations; liaising with respective administrative departments on policy issues; preparing graduate student support payroll forms for fellowships and teaching assistants; providing support for MUCEP students assigned to School of Human Kinetics and Recreation (SHKR); supporting human resource activities, including payroll reporting, leave management, recruitment and administration; assisting with inventory and fixed asset tracking; coordinating transportation and outside facilities for academic needs; contributing to the preparation and maintenance of the budget for the SHKR, Varsity Athletics and conducting financial analysis; and performing other related duties as required.

QUALIFICATIONS

Experience (3-5 years) in administrative work; completion of most university coursework toward an undergraduate degree in business administration, public administration, or a related area from a four-year college or university is required; or an equivalent combination of experience and training will be considered. The ideal candidate will have experience in budget preparation, purchasing, and accounting procedures. Strong analytical and communication skills, and the ability to work independently and in a team environment, are essential for this role. The successful applicant will be responsible for establishing and maintaining effective working relationships with faculty, staff, students and administrative personnel. A strong command of Microsoft Office applications, particularly Excel, is required. Knowledge of University policies and procedures, as well as the Banner Administrative System, would be considered assets.

SALARY $53,729 - $63,029 per annum (Non- Bargaining)
