Under the direction of the Manager of Patrol Services, the position is responsible for providing administrative support to all units under the Patrol Services Division.

•Receives, directs, screens telephone calls to obtain and provide the available information or refer caller to the proper authority.
•Composes a variety of correspondence and documents and signs, if necessary.
•Maintain office supplies for Patrol Services Division.
•Organizes, assembles, copies, and distributes various agenda packages.
•Organizes and prepares for various meetings.
•Takes and transcribes minutes and makes copies for distribution on an as required basis.
•Transcribes audio tapes on an as-required basis.
•Performs general office duties as required including keyboarding, filing, photocopying, and opening and distributing the mail.
•Uses computer, SunGard related applications (NaviLine, Cognos), and other general office equipment.
•Issuing and/or replacing Saint John Police Force employee identification cards.
•Collect, scan, file and track Accident Reports.
•Receive requests by mail and email for Insurance Reports. Track reports that get released and the amount charged to release them on an Excel spreadsheet.

Essential Qualifications:

•Proficient in the use of computers, Microsoft Office systems, HTE related applications, audio recording equipment and general office equipment.
•Excellent interpersonal and communications skills (oral & written).
•Approved Saint John Police Force security clearance.

EDUCATION

Diploma in Office Administration from New Brunswick Community College, Business Certificate 1 from the University of New Brunswick, or an equivalent program is required.
