The Opportunity
We are currently seeking an Administrative Assistant III to join our Contract Management and Site Services team in Sudbury. This is a permanent position.
As an Administrative Assistant III, you will provide administration support to management and staff of the department.
Additionally, in this position you will:
- Provide office administration and business support to the Ontario Operations Leadership Team.
- Receive and screen meeting/information requests, letters, and/or visitors, answering routine questions and obtaining and providing information to save Executive's time.
- Organize and maintain Executive correspondence and records, following up on pending matters with limited direction.
- Transcribe dictation or summarize meeting minutes of a highly technical or confidential nature.
- Assist with travel arrangements, submit expenses for travel and other expenses.
- Scheduling duties. (i.e. lead meetings, schedule meetings, manage calendars, track work status, enter work orders, run weekly reports in SAP, etc.)
- Produce reports, graphs and charts as required. Must be able to interpret and manipulate data. (i.e. timesheets, delays analysis, etc.)
- Assist with scheduling /tracking vacation and overtime.
- Coordinate tour requests and visits from internal/external stakeholders liaising with operating site leaders and arranging accommodation and logistics.
- Welcomes visitors, manages building access, distributes pass office cards to third parties, supports facilities team as required.
- Process invoices for payment into the SAP system and maintain invoice filing system. Ensure prompt payment to suppliers with agreed upon timelines. Investigate and resolve any issues arising.
- Ordering office and other supplies, stock and non-stock.
- Other duties as assigned.
About You
Education:
- Post-secondary degree/diploma in administrative or business studies
Experience:
- A minimum of 5-7 years of relevant experience
Skills:
- MS Office experience using Word, Excel, PowerPoint
- Competency with Enterprise Management applications such as SAP
- Highly organized and able to maintain confidential information
