Employment Opportunity: Housing and Ancillary Services - Operations Coordinator (full-time, permanent, subject to a probationary period)

Overview

Under the supervision of the Assistant Dean of Housing & Ancillary Services, the Housing and Ancillary Services - Operations Coordinator ensures a comfortable and safe living environment for residence students and summer guests. The Housing and Ancillary Services - Operations Lead oversees the day-to-day operations of housing at King's including the direct supervision of Residence Patrol and the Residence Front Desk. The Housing and Ancillary Services - Operations Lead will support the long-term strategic direction of the housing system including occupancy management, facilities maintenance and summer conference business.

Key Responsibilities

Housing Operations:

  • Sole supervision of Residence Patrol
    • Hires, trains, and manages the daily operations of the Patrol team (approximately 25 part-time student employees, including student supervisors), including scheduling, timesheets and basic accounting /budgeting.
    • Responsible for the status and implementation of all policies and procedures relevant to the function of Patrol.
    • Participation and leadership in the incident reporting and follow-up/Residence Conduct process with Residence Life.
    • Lead staff meetings and 1on1 student employee development.
    • Broad knowledge of, and ability to instruct others in, emergency preparedness and serious incident response to train staff and lead a coordinated team.
  • Sole supervision of the Residence Front Desk
    • Hires, trains, and manages the daily operations of the Residence Front Desk team (approximately 30 part-time student employees, including student supervisors), including payroll and accounting.
    • Responsible for the status and implementation of all policies and procedures relevant to the function of the Residence Front Desk.
    • Responsible for the duties associated to reception and the university switchboard.
    • Lead staff meetings and 1on1 employee development.
  • Responsible for ensuring the day-to-day maintenance and upkeep of residence physical space in conjunction with Facilities Management and Ancillary Services including renovations, repairs, cleanliness, and inspections.
    • Follows up with Facilities Management to resolve outstanding issues (e.g. repairs and maintenance, leaks, pest control, heating issues).
    • Follows up with students to resolve issues impacting the physical space in residence, including submitting maintenance requests and complaints.
    • Works with the cleaning contractor to ensure cleanliness standards are established and maintained.
  • Coordinates logistics for residence move-in day, winter break, holiday closures, reading weeks, and the transition between residence and summer business (and vice-versa).
  • Oversees the residence room inspections process and takes the lead during all key times where systematic room checks are required, including all required communications to key stakeholders.
  • Coordinates the "Swap and Drop" event annually (or as many times as required within each year).
  • Strategically plans for the longevity of residence spaces including maintaining an inventory of residence furniture/appliances/items and spaces allowing for decisions to be made about repairs, replacements, discontinued use, and new purchases.

Administrative:

  • Responsible for the daily administrative tasks in eRezlife (software designed for higher education institutions to manage student affairs, campus life, and residential operations) associated with keys, XMs, and reports.
  • Responsible for the daily administrative tasks associated with the management of the tap card access system.
  • Manages on-site logistics and support in response to emerging student or guest issues
  • Oversees the effective communication of residence guidelines and polices, including updating and managing communication templates.
  • Collaborates with the eRezLife system support team to optimize the use of eRezLife services and resources.
  • Facilitates the "on-campus lockers" program.
  • Responsible for managing the office supplies required for all of Housing and Ancillary Services at the direction of the Assistant Dean - Housing and Ancillary Services.
  • Responsible for all liquor license administrative and reporting requirements at the direction of the Assistant Dean - Housing and Ancillary Services.
  • Responsible for residence mail and packages.

Summer Conference Business:

  • Coordinates with the Conference Services summer student supervisors to support the Conference Services student staff.
  • Shares on-call responsibilities with the Assistant Dean - Housing & Ancillary Services during the summer business term.
  • Supports the summer Conference Services business as required.

On-Call Responsibilities:

  • Participates in the "Dean-on-call" rotation (typically 1 week out of 4 from September to May where there will be responsibilities to answer and respond to second tier escalation concerns overnight and on weekends/holidays).

Committee Membership:

  • Participates on university committees relevant to the operations of Housing and Ancillary Services at the direction of the Dean of Students and/or the Assistant Dean - Housing and Ancillary Services.
  • Contributes to the broader strategic goals of the University of King's College and the Enrolment and Student Life Office.

Completes other duties as assigned by the Assistant Dean - Housing & Ancillary Services.

Qualifications, Skills & Experience:

  • Undergraduate degree required. A diploma plus additional direct experience in hospitality, conference services or housing at an educational institution will be considered equally.
  • A minimum of 3 years of work experience in related field is required.
  • Experience supervising a team - supervision of a team of student employees specifically is considered an asset.
  • Demonstrates excellent communication and interpersonal skills.
  • Must possess a high degree of creativity and problem-solving skills.
  • Experience managing multiple competing tasks and priorities is required.
  • Must have strong organizational skills and the ability to work effectively both independently and as part of a team.
  • Established skills in Microsoft Office 365 applications are required.
  • Experience working with residence and conference software tools, such as eRezLife and WebRezPro, is an asset.
  • Experience with scheduling, timesheets, and basic accounting/budgeting would be considered an asset.

Salary will be commensurate with level of education and experience. The starting salary range for this position is $48,990 - $54,009 (including a comprehensive benefits plan with enrolment in the Nova Scotia Public Service Superannuation Pension Plan). A stipend of $500 per Dean on-call weekly shift from September through May will be provided.
