In this role, you will:

  • Support the planning, execution, and monitoring of services, ensuring adherence to timelines, budgets, and quality standards.
  • Assist with logistics and administrative needs to facilitate smooth operations.
  • Organize and facilitate meetings, workshops, and key activities, ensuring proper documentation and follow-up.
  • Develop and maintain documentation to ensure consistency across service processes and procedures.
  • Provide administrative support to ensure effective team operations, including responding to inquiries on policies and procedures.
  • Build and maintain a centralized library of operational standards, processes, guidelines, and tools.
  • Collect, analyze, and report on key service indicators to support decision-making and continuous improvement.
  • Prepare internal and external reports, including monthly, quarterly, and ad-hoc progress reports.
  • Facilitate communication and collaboration with internal teams, external partners, and stakeholders to ensure alignment, support research objectives, and enhance overall effectiveness.
  • Guide and mentor team members, providing training and support in service best practices, service navigation, and client support.

What we are looking for:

  • Qualifications include a minimum of 3 years' experience and a 1-2 year post-secondary certification/diploma, or less experience if combined with a 3-year college diploma or university degree and/or an equivalent combination of education and experience.
  • Proficiency in standard computer applications (Microsoft Office Suite).
  • Ability to adapt knowledge and practices to varying situations and look at situations from the perspectives of others in different circumstances.
  • Ability to thoroughly explore and analyze complex, interconnected problems, identify root causes, and develop innovative solutions using technical, functional, and organizational knowledge, while exercising independent judgment and escalating issues with potential risk or precedent-setting implications.
  • Ability to interpret and deliver non-routine information, clarify client needs, offer solutions, and resolve escalations in new or sensitive situations, requiring diplomacy, empathy, and the application of communication skills to work effectively within the team, with other teams, and achieve client satisfaction.
  • Experience in program coordination, including the development and implementation of program plans, budgets, and evaluation activities.
  • Ability to identify opportunities for process creation and/or improvement to enhance efficiency and effectiveness in service delivery.
  • Ability to understand data analytics to assess performance metrics and generate reports for management.
  • Fluency in French and English is required.

Working Conditions

  • No unusual physical effort required.
  • Regular requirement for a moderate degree of concentration and attentiveness.
  • Regular requirement for a moderate level of detail/precision.
  • Will be working primarily in a remote environment.
  • Some domestic or international travel in generally safe environments
  • Extended work hours and work outside of regular business hours may be required in emergencies.
  • This role may require participation in a rotating on-call schedule to manage operations and issues outside of regular business hours.
