The Registrar's Office at Mount Saint Vincent University invites applications for the position of Assistant Registrar, Graduate Admissions.

Responsibilities

Reporting to the Associate Registrar, Admissions, the Assistant Registrar, Graduate Admissions is responsible for working with the Dean of Graduate Studies, Dean of Education and Graduate Program Directors/Coordinators to identify entrance criteria for non-thesis programs of study, extending offers of admission, providing real-time admissions updates to both applicants and graduate programs, and other duties as assigned by the Associate Registrar, Admissions. Duties shall include:

  • developing, in consultation with the Dean of Graduate Studies, Dean of Education and graduate program directors/coordinators, the admissions criteria for each participating program, applying these criteria to the application material submitted by the applicant and making offers of admission as appropriate; implementing procedures for admission based on PLA and ensuring admission criteria are up to date;
  • providing recommendations and supportive documentation for procedural improvements to graduate program coordinators, departments and the Registrar's Office;
  • providing logistical support to graduate departments, graduate coordinators and more importantly applicants- particularly our international applicants;
  • monitoring processing of admissions for all programs (thesis and non-thesis) and producing weekly status reports;
  • processing and approving requests for Deferral of Admissions;
  • processing Leave of Absence and Program Extension requests as approved by the Dean of Graduate Studies and/or the Dean of Education;
  • providing data analytic support to the Graduate Studies Scholarships, Assistantships and Awards Committee as required
Qualifications

An undergraduate degree in a related discipline plus two years of work experience in an educational setting is required for this position. An equivalent combination of education and experience may be considered. Effective communication skills with faculty, university administration and potential students are essential as is a strong commitment to excellent client service. Candidates must be proficient in analysis and research activities required for this role. Strong time management and organizational skills are essential in this deadline-driven, multi-tasking environment. This position may require evening and weekend work. Candidates should be proficient in the use of Microsoft Office Suite (Excel, Word, Powerpoint), and have an aptitude for, or previous experience, using business enterprise systems such as Colleague, Banner, PeopleSoft, etc.
