DEPARTMENT OF PSYCHOLOGY

UNB's Department of Psychology has a strong reputation in the field with a growing graduate student program and ever-higher demand for courses in our undergraduate streams. The Department of Psychology in Fredericton has BA and BSc majors and honours programs in psychology and a BSC in biology-psychology, as well as graduate programs in Clinical Psychology (CPA accredited) and Experimental Psychology.

Standard Work Hours: Mon - Fri | 7:45 am - 4:00 pm | 36.25 hours per week (Summer Hours)

Salary Range: $23.48 - $27.26 per hour

YOUR FOCUS

Reporting to the Director of Graduate Studies and secondarily to the PL5, the Secretary PL4 (Administrative Coordinator) performs administrative duties for the Department of Psychology and the Director of Graduate Studies in the Department of Psychology.

  • Provide administrative support to the Directors of Graduate Studies, Clinical Training, Psychology Program, and the Practicum Coordinator
  • Support undergraduate and graduate program administration, including course registration, funding applications, defenses, scholarship awards and processes, and student transitions
  • Serve as the first point of contact for inquiries via phone, email, and in person; manage office communications, mail, shipping, and supplies
  • Maintain and update confidential student records, databases, and files, including graduate, practicum, and associate files
  • Coordinate departmental events and meetings, such as orientations, information sessions, clinical luncheons, and student recognition activities
  • Prepare documents and materials for meetings, events, and student processes; manage room bookings, catering, and scheduling
  • Support application and admissions processes for MA and PhD programs; screen and distribute applications
  • Design and update manuals, promotional materials, bulletin boards, website content, and social media in coordination with communications staff
  • Track student data for internal reporting and accreditation; maintain spreadsheets on funded students and prepare graduate payment forms
  • Administer departmental surveys, manage assignment boxes, Listservs, and the test library inventory
  • Liaise regularly with internal offices including the Registrar, Facilities, Graduate Studies, and Dean of Arts
  • Use a variety of software systems to support administrative functions and contribute to departmental projects as needed
  • Perform other duties as assigned

WHAT YOU BRING

  • Post-secondary diploma in Business Administration or another related field.
  • 3-5 years experience in an office setting.
  • A combination of experience and education may be considered.

Additional Strengths:

  • Knowledge of the UNB community, policies and procedures would be an asset.
  • Must possess good organizational and administrative skills.
  • Ability to work efficiently without supervision.
  • Solid computer skills around word processing, spreadsheets and web navigation.
  • Willing to receive additional computer training in web page updating.
  • Excellent interpersonal and communication skills.
  • Able to interact effectively and confidentially with students, faculty, and the public.
