Responsibilities

As part of the Apprenticeship Training team, you will:

  • Provide a full range of administrative support services to the Manager, Apprenticeship Training.
  • Assist Apprenticeship Registrar and Coordinator with enrolment processes and outgoing communication.
  • Prepare or review purchase order/requisitions, etc.
  • Develop and maintain filing systems; internal mailing process and procedures; prepare non-routine responses.
  • Manual data entry and collection.
  • Operate software packages including but not limited to Excel, MS Word, PowerPoint, Peoplesoft, and Sharepoint web pages.
  • Monitor shared outlook inboxes and respond to inquiries.
  • Prepare reports and statistics based on information compiled and enterered from various sources; determine report format and elements; identify trends.
  • Gather data and information from diverse sources; review for format and content structure based on knowledge of specifications; solve problems and respond to requests for information.
  • Interpret existing policies and procedures; may guide students through apprenticeship admissions process; advise students of requirements; review student files/records for academic progress.
  • Work independently with limited supervision; responsible for several complete processes; interpret oral and/or written guidelines to resolve problems
  • Provide general office support as required to apprenticeship team.
Qualifications

Qualifications and Occupational Experience:

  • The minimum educational qualification for this position is a post-secondary certificate or diploma in Business or Administrative Professional/Office Administration combined with a minimum of two years' recent and related experience in a fast-paced office environment. Or you have the recognized equivalency of a high school diploma with significant (10+) years of administrative experience.
  • You are familiar with and comfortable using computer applications such as the Microsoft Office Suite, E-mail, Excel, MS Word, PowerPoint, Peoplesoft and Sharepoint web pages
  • You are comfortable working in a digital environment; you take responsibility for acquiring knowledge about advancing technology; and you are committed to using technology in advancing your work
  • Experience supporting/providing service to apprenticeship students would be considered an asset
