The Opportunity

We are currently seeking an Admin Assistant III - Procurement & Supply Chain Administration to join our Research & Development Strategy team in Sheridan Park, Mississauga.

This is a permanent hybrid position.

As an Admin Assistant III, you will coordinate the procurement of goods and services for Vale Base Metals Research and Development organization from request to contract termination, and provide administrative support to managers and professionals, including preparing correspondence, reports, and records of proceedings. Your experience and skills will allow you to Serve as a liaison between departments, teams, and stakeholders, ensuring seamless communication and collaboration, and maintain internal controls, financial records, and other specialized documentation.

Additionally, in this position you will:

  • Manage purchasing processes including generating contracts and purchase orders within deadlines and budgets, and assisting requesting areas and managers with purchase requests
  • Provide administrative support, including; registering new suppliers and maintaining the supplier portfolio; Preparing monthly reports on performance, efficiency, and budget execution
  • Submit monthly requests for funds and supporting audits & maintaining projects and Work breakdown structure (WBS) in SAP
  • Generate and maintain financial reports, including but not limited to, forecasting (weekly and monthly), KPIs, daily requisition, monthly cost and details, project tracking, vendor spend analysis, headcount and overtime.
  • Ensures compliance with company procedures, including Health, Safety, and Environment Management System and Code of Ethics.
  • Other potential ad-hoc requests including: managing travel

About You

Education:

  • Post-secondary degree/diploma in administrative or business studies.

Experience:

  • Minimum 5 years of experience in a similar role.

Skills:

  • Good knowledge of end-to-end procurement processes.
  • Excellent knowledge of SAP with ability to input procurement service entry requests and download financial data to create reports
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • PowerBI development skills for custom reporting development is nice to have (or willingness to take training and classes to upskill)
  • Excellent Verbal and Written Communication (clear and professional communication)
  • Time Management, prioritizing tasks and managing deadlines)
  • Attention to detail ensuring accuracy in all tasks
  • Problem-solving skills, critical thinking and resourcefulness
  • Professionalism and confidentiality, maintaining a professional demeanor and handling sensitive information discreetly.
