Having hosted the world's top performers, homegrown talent, best in class athletes and many performers in between, Scotiabank Centre has been a source for community vibrancy and pride for over 45 years. With a seating capacity of more than 10,000 and the versatility to accommodate a range of events, Scotiabank Centre hosts close to 500,000 attendees each year and is home to the Halifax Mooseheads, Halifax Thunderbirds Lacrosse and the Royal Nova Scotia International Tattoo.


THE POSITION:

The Halifax Convention Centre and Scotiabank Centre managed by Events East Group is now inviting applications for the position of Event Coordinator with our Event Management team.

Reporting to the Senior Manager, Event Operations, the Event Coordinator (EC) is a key contributor to the success of meetings, conventions, and live events at Halifax Convention Centre and Scotiabank Centre.

The Event Coordinator supports both the Event Management Team and our customers through every stage of the event journey-from planning and preparation to on-site execution. With a focus on service excellence, operational accuracy, and strong client relationships, the EC plays a hands-on role in delivering unforgettable event experiences. Key responsibilities include supporting pre-event planning, maintaining detailed event documentation, coordinating event logistics on-site, and ensuring adherence to event management standards across both venues.

In addition to supporting event delivery, the EC may also be assigned direct management of select meetings and smaller events, based upon scope and complexity.

This salaried position operates within both Halifax Convention Centre and Scotiabank Centre.


THE DUTIES AND RESPONSIBILITIES:

Operations:

  • Support Event Management Team by:
    • Participate in effective pre-event planning.
    • Accurately manage event changes and updates.
    • Oversee seamless, efficient on-site event execution.
  • Lead assigned events independently, including:
    • Smaller meetings and food and beverage events.
    • Add-on meetings or orders for major conventions, conferences and events.
    • Internal organizational meetings and events.
  • Cultivate positive, professional relationships with industry partners, suppliers, hoteliers, and event planners.
  • Other duties as assigned.

Administration:

  • Support Event Management Team by:
    • Ensuring the timely and accurate input of event details into event management systems while upholding event management system programming standards.
    • Capturing and maintaining clear, detailed meeting notes and event change records to support seamless event execution.
    • Managing and submitting invoices to customers and proactively monitoring payment receipt.
    • Overseeing the collection of proof of event insurance by initiating customer requests, following up as needed, and tracking documentation to ensure compliance.
  • Support continuous improvement by identifying opportunities to enhance event system processes and administrative workflows.

Training & Development:

  • Commit to continuous learning by actively engaging in team training, professional development, and service excellence initiatives.

Health & Safety:

  • Report all safety hazards to the direct supervisor as soon as is reasonably possible. Take action to correct the safety hazard if possible and reasonable.
  • Report all incidents and near misses to the direct supervisor as soon as is reasonably possible. Participate fully in the incident and near miss investigation procedure.
  • Create, promote, and follow all departmental standards and guidelines, job procedures, and equipment operation protocols to continuously ensure the safety of oneself, team members, and clients.
  • Wear, use, and ensure the appropriate use of Personal Protective Equipment (PPE) as required, report any issues or violations within the team or onsite to the direct supervisor.
  • Report any damaged PPE to the direct supervisor, promptly.

THE PROFESSIONAL REQUIREMENTS:

Education & Experience:

  • High school diploma or equivalent secondary education.
    • Recognized industry certification in event planning or hospitality is considered an asset.
  • 2+ years of experience in event coordination, meeting management, or a comparable customer service or hospitality role.
  • Strong verbal and written communication skills in English.

Physical Demands:

  • Must be available to work varying shifts, including mornings, days, evenings past midnight, weekends, and holidays.
    • Shifts can be up to 12 hours in length.
  • This position will frequently operate within Halifax Convention Centre and Scotiabank Centre during live events. The following environmental conditions are present during these times:
    • Loud noise from events and guests,
    • A large number of people to navigate through
    • Moderate to loud noise levels and regular foot traffic
    • Temperature-controlled indoor environment.
    • Overhead fluorescent lighting.
  • Though this position will have administrative duties, the majority of time will be spent walking through the building(s) and standing for extended periods of time.
