The Bridgewater Police Service, located at 45 Exhibition Drive, Bridgewater, Nova Scotia, is made up of 40 employees - 25 officers, (three have been seconded to specialized, provincially funded units such as the Street Crime Enforcement Unit, Criminal Intelligence Service NS, and the School Safety Resource Officer program), five auxiliary constables and ten civilian members.

About The Role

Under the supervision of and in collaboration with the Chief of Police, the Office Administrator is responsible for budgeting, business planning, policy development, tracking workflow, administrative services, including operational support for the two detectives of the General Investigation Section.

  • Prepares confidential and secret reports relating to staffing, grievance, labor related issues and major investigations.
  • Recording Secretary for Bridgewater Board of Police Commissioners.
  • Maintains computerized attendance management program records for communications staff accounting for scheduling, absences, etc.
  • Provide operational support on all secret operational files between BPS and other enforcement agencies, as required, and where confidentiality is imperative.
  • Maintains BPS confidential personnel filing system on all employees, including discipline records.
  • Manages registrations, flights, accommodations, billing and payment for courses for all staff.
  • Maintains correspondence on all Nova Scotia Police Act investigation files;
  • Maintains permanent records of department's admin filing system including departmental correspondence, minutes, reports, etc.
  • Procures office supplies and maintains inventory.
  • As part of the management budget team, monitors, reviews and provides updates of the operational budget.
  • Liaison with the finance department, creates purchase orders, new vendor accounts, ensures proper account coding.

About You

You have a strong understanding of privacy and confidentiality with the ability to exercise diplomacy and good judgement. You can work independently as well as part of a team and with other outside agencies. With your excellent communication skills, you effectively manage relationships with diverse groups of people and can lead a team of professionals. You are attentive to detail, ensuring accuracy and enjoy working with numbers and details.

Required Qualifications:

Education:

  • Post secondary education in Office or Business Administration from a recognized institute or other related field.
  • A suitable combination of education and experience may be considered.

Experience:

  • Minimum five years of operational experience in a police environment is an asset.
  • Minimum five years of administrative experience in a busy office environment.
  • High level of computer proficiency using a wide variety of office software including MS Office (Outlook, Excel, Word, 365, etc).
  • Experience in budgeting and/or accounting is considered an asset.
  • Experience with Records Management- Principles and software.

Terms and Conditions of Employment:

  • Permanent full time, non-union (35 hours per week)
  • Operates out of the Police Services Facility at 45 Exhibition Drive, Bridgewater.
  • Regular hours are Monday to Friday 8:00 a.m. to 4:00 p.m. (one hour lunch break)
  • Work outside of regular office hours may be required to meet operational demands.
  • High level security clearance required including criminal records check.
  • Annual Salary Range: $59,096 to $75,960 (Grade 3).
