Overview of the Role:

Reporting to the President, this role is pivotal in ensuring that the company attains its strategic objectives. This is accomplished by leading the development and implementation of various critical projects and following them through to completion.

You would be joining a small and nimble leadership team whose members also have this "player-coach" mentality. We aren't above jumping "into the trenches" with our direct reports when that is required to keep a project moving toward completion.

Key Responsibilities


· Develop and implement strategic plans for IT, HR, Training, Admin, Complaint Handling, Translation, and Compliance functions.

· Ensure alignment of departmental strategies with overall business goals and objectives.

· Lead and manage teams across operations-specific functions, fostering effective communication and collaboration.

· Provide mentorship, guidance, and performance evaluations for department heads (IT, HR, Training)

· Hold each department head accountable for their strategic plans and departmental goals.

· Ensure productivity and efficiency in each function by setting and monitoring key performance indicators (KPIs).

· Identify operational risks and develop mitigation strategies.

· Promote a culture of continuous improvement.

· Implement best practices and innovative solutions to enhance operational efficiency.

· Conduct regular meetings with department heads to review performance, address issues, and ensure accountability.


· Oversee administrative operations, including Admin Assistant, Reception, and Processing Staff.

· Ensure efficient office processes and procedures (change/modify where necessary)

· Set and monitor departmental goals and KPIs.

· Provide leadership, mentorship, guidance and performance evaluation to the admin and production team.

Compliance, Auditing & Reporting

· Ensure compliance with relevant regulations.

· Develop and implement compliance policies and procedures.

· Conduct regular audits to ensure adherence to compliance requirements.

· Ensure compliance reports to regulatory bodies are prepared and submitted as needed.

Complaint Management

· Develop and implement a complaint handling system for compliance, errors & emissions, licensing, privacy, etc.

· Ensure timely and effective resolution of all complaints.

· Monitor complaint trends and provide regular reports to senior management.

· Implement corrective actions to prevent the recurrence of issues.

Education & Experience:

· A minimum of 5 years experience as a COO, Corporate Consultant, Operations Manager, Office Manager, Executive Assistant, or related position

· A four-year university degree is preferred, but work experience will be considered as well

· Excellent knowledge and skills associated with computers and business software applications (Especially with Microsoft Office or similar: Word, Excel, Teams, PowerPoint).

· A willingness to spend at least a portion of the workweek (2 or 3 days) at our Shediac head office for face-to-face time with most of the Leadership and Admin teams.

· Fluent FR-EN bilingualism is an asset, but minimum requirement is a strong working proficiency in at least one of these language, and a basic proficiency in the other.

· Insurance Industry experience is a plus but not required.


Vienneau Insurance offers a competitive salary and benefits package.

Beginning salary range: $80,000 - $100,000
