Our Team

The NA Contract Management Office Team is an integral part of the business supporting Vale's long-term operating strategy by implementing vendor performance management processes while working with our internal customers and vendor partners to reduce total cost of ownership for services & supplies expenditures. Members of this team work across different locations to ensure all contract management processes are functioning accurately. Team members are also involved in the development of demand strategies as well as performance KPIs, initiatives, best practices and procedures.

The Opportunity

We are currently seeking North Atlantic - Contract Governance & Performance Analyst, Local 2020-05 to join our Sudbury Operations. This is a permanent position.

The successful candidate will report directly to the Process Controls Superintendent of the North Atlantic Contract Management Office, under the umbrella of the North Atlantic Financial Planning and Analysis (FP&A) group.

The North Atlantic – Contract Governance & Performance Analyst plays a pivotal role in formalizing Contract Management Governance processes, tools and best practices at the cross-regional level to ensure that contracts are managed with consistency, enabling us to accurately measure efficiencies and usage across the North Atlantic Operations. They develop and maintain cross-regional contract management performance dashboards, analyze changes and provide insight on drivers to help influence decision making, prioritize improvement efforts, and maximize business value.

The successful candidate will have the ability to critically analyze historical data, identify trends, develop forecasting and actively monitor performance indicators. They will have advanced working knowledge of SAP and its reporting capabilities to yield information from the system as required.

Accountabilities:

North Atlantic Contract Governance Processes, Tools and Reporting Routines

North Atlantic Contract Management Dashboards, Analysis & Reporting

  • Establish & maintain integrity and availability of multi-regional contract management dashboards and support data consolidation, analysis, and reporting of cross-regional contract performance.
  • Review technical data sources and develop cost and contract performance management tools that efficiently integrate with existing Vale systems and support KPI measurement and performance reporting.
  • Provide meaningful insights and metrics to stakeholders such as non-conformance of contracts, KPIs, parked invoices reporting, and set targets for contractor management performance.
  • Develop, calculate and monitor key measurement indicators and provide analytical support to the department to enable the full evaluation of financial outcomes, value drivers and risks for all NA regional groups.
  • Measure and trend contract performance over time (monthly/quarterly) and produce technical reports for NA Leadership on changes in performance and drivers.
  • Proactively identify risks and variances in performance to enable early and effective course corrections.
  • Monitor and validate the quality of performance data collected during contract management activities and initiate quality control measures to improve data accuracy and reliability.
  • Provide additional monitoring for critical contracts which have a potential risk to production, etc.
  • Monitor available funds against commitments and central contracts for the North Atlantic Operations.

Continuous Improvement of North Atlantic Contract Management Processes & Performance

  • Regularly audit employee and contractor compliance with established processes and report findings.
  • Investigate root causes of internal and external performance / compliance issues and provide recommendations for continuous improvement.
  • Collaborate with cross-functional teams to address process gaps related to contract management data quality and measurement systems.
  • Collaborate with critical Vendors to coordinate processes and deliverables for performance monitoring and reporting.
  • Support the response and closure of action items resulting from internal and external North Atlantic Contract Management Audit activities.
  • Lead initiatives to refine processes and manage changes in order to ensure that best practices are formalized and leveraged across North Atlantic Operations.
  • Continuously refine and optimize cross-regional reporting tools, metrics and dashboards to enhance visibility of contract performance and effectiveness of our contract management efforts across all North Atlantic Operations.

Qualifications and Specific Skills:

Education/Certification: Completion of post-secondary Economics, IT Data Analytics or equivalent. Lean/Six Sigma Certification or similar process optimization training considered an asset. Microsoft Certified - Power BI Data Analyst or Associate course would be considered an asset.

Related Employment Experience: Minimum of 1.5 years of relevant experience in database development, analyst or equivalent role OR 5+ years in Business Administration or Cost/Process Control role with Vale supported by extensive experience with SAP and other Vale systems & tools. Previous experience with implementation and administration of ISO Quality Management systems is desirable.

Computer Skills: Proficiency with Microsoft Office products including Word, Outlook, Visio, PowerPoint etc.; Proficiency with MS Excel is required. Working knowledge of ERP systems such as SAP is required. Experience with the creation and use of Power BI reports, Business Objects or similar data consolidation, intelligence and reporting tools is desired. Experience with the creation of Vale Forms, MS 365 Forms.

Other Skills: Capable of developing KPIs, Metrics, measurement systems and building graphical displays to showcase data for end users. Understanding / knowledge of entire contract management / administration / procurement cycles is considered an asset. ISO Management System Auditor Training (9001, 14001, 45001 or 18001) would be considered an asset. Development of processes and tools.

Technical Knowledge – Comprehensive Understanding of Vale Business systems - Supply Chain / Contract Lifecycle, Quality Management System Principles, Continuous Improvement Cycle, Management of Change, Finance, HSE, Operations and Maintenance

System Knowledge - Understanding of Work Management System. Working knowledge of SAP.

Numeric Logic - Proficient use of spreadsheets, analysis and interpretation of statistical data. Understanding and application of mathematical concepts. Experience with creation of Power BI Reports and Dashboards is preferred.
