Marine Atlantic is currently looking for a Confidential Administrative Assistant Occupational Health to work with our Occupational Health department, located in North Sydney, NS.

As a member of the Human Resources Department, and reporting to the Occupational Health Manager, the Confidential Admin Assistant is responsible for supporting the day-to-day business activities of the Occupational Health department. Critical attributes of this position include: a positive, proactive attitude and excellent customer service, interpersonal and communication skills. Attention to detail, the ability to handle multiple priorities and flexibility to adapt to changing demands and deadlines are essential.

The Confidential Administrative Assistant ensures that the principles and practices that guide the vision, mission, values, expected behaviors, the leadership philosophy, organizational health, population health, ethics, safety, quality, partnerships, and inter-professional collaboration are integrated within the support that is provided by the work that they do and through the messages they deliver.


Additional Key Areas of Responsibility


• Greet clients and callers, screen visitors to determine the nature of their business, answer inquiries, provide information and takes messages, and direct them to the appropriate person(s) or place(s).
• Administer, process and coordinate confidential employee information.
• Manage Occupational Health Nurses correspondence and schedules.
• Provide support in disability management claims, including requesting and receiving medical documentation from external health care providers.
• Coordinate disability claims being managed by the short-term disability provider, including ensuring compliance and notifying the appropriate scheduling units and managers with updates.
• Prepare monthly statistics relating to wellness and disability management
• Collect and analyze data relating to employee health services utilization (WIB provider, EFAP, Blue Cross) to provide guidance to wellness activities.
• Process and ensure accuracy of monthly workers compensation billings.
• Support Occupational Health Nurses with arranging of fitness to work medical screening, including drug and alcohol testing.
• Coordinate with the Department to monitor non-compliance, prepare and send letters, etc.,
• Maintain inventory of office and medical supplies, order supplies as required and arranges for servicing of office equipment.
• Book assessments with external providers and arrange travel for employees as needed.
• Facilitate arranging schedules of wellness sessions and materials.
• Compose minutes of meetings (as required) and distributes in a timely fashion.
• Prepare work orders and material requisitions/purchase requisitions.

What qualifications do I need to be considered for this opportunity?

Education and Experience

? Office Administration or Secretarial Diploma
? Minimum two (2) years of experience in a relevant similar role.

OR

• a combination of equivalent education, job-related training and experience in a related position.

Essential Qualifications:

• Proficient computer skills – Microsoft Office applications, etc. Typing 50 words per minute.
• Strong Organizational, Communication, Interpersonal skills.
• Strong Analytical skills.
• Time management skills.

Asset Qualifications:

? Certificate in Occupational Health and Safety.
? Health administrative experience and / or education.
? Worker's Compensation claim management experience including injury reporting, claim.
review, and completion of occupational disease claims.
? Education, training, or experience in Health and Safety.
? Knowledge and experience with Human Resources roles and responsibilities.
