As a Scotiatrust Regional Administration Lead, you will be responsible for leading, overseeing and managing Scotiatrust Regional Estate & Trust Administrators (RETAs) with the training, coaching and support they require to support the Estate & Trust Consultants (ETCs) with their new business development and advisor engagement responsibilities within their regions. You will ensure activities in support of business strategies, plans, and initiatives are executed / delivered in compliance with governing regulations, internal policies, and procedures. This role oversees key activities, such as the hiring, technical onboarding, and ongoing training and development of RETAs, and will perform a variety of functions towards that end, mostly dedicated to ensuring there is sufficient and minimum standards of service provided to the ETCs, including proper coverage and backup support, as needed. You will also oversee any other administration support across the region that touches on such areas as real estate, file storage, vendor relationships, and documentation requirements, ensuring the region is following national standards and best practices.

In this role, you will:

  • Oversee the administrative and business development support provided to ETCs that will help them fulfill their mandates, by:
    • Managing a team of RETAs in their region, providing coaching and leadership to help them execute their accountabilities and optimize their performance;
    • Recruiting and onboarding new team members and ensuring that all ETCs in their region have adequate support, filling any gaps and managing vacancies, as needed;
    • Organizing joint learning and other professional development opportunities among the team to help them continue to improve their knowledge and capabilities;
    • Validating that all leads and other key data are properly tracked on Salesforce, with accurate and timely data that will fuel our management and partner reporting;
    • Ensuring that the relevant appointments within the Will Bank are being properly managed, with proactive contact for the high priority prospects and clients; and
    • Soliciting feedback from ETCs on the quality of their support and addressing any concerns that arise, in partnership with other regional leaders.
  • Leads the delivery of broad-based administrative support across the region, by:
    • Supporting Trust Officers and Associates with the tracking and administration of real estate properties they manage within their accounts;
    • Managing the digitization and off-campus storage of files along with the process of storing and retrieving documentation across the region;
    • Coordinating with offices across the region around facilities, business continuity plans, stationary, and any other administrative needs; and
    • Liaising with peers and National Office to ensure that national standards are being applied and that we have consistent processes across the country.
  • Provides leadership in support of managing effective partner relationships across the region, by:
    • Modelling a customer focused culture throughout their team to deepen client relationships and leverage broader Bank relationships, systems, and knowledge;
    • Acting as a trusted partner to foster strong working relationships with leaders across the organization;
    • Managing and influencing stakeholders with a variety of sometimes conflicting interests to achieve functional and/or enterprise/initiative deliverables and outcomes.
  • Contributes to various business initiatives and the implementation of process improvements, by:
    • Engaging with colleagues to identify and communicate challenges and opportunities for improving the employee, partner, and client experiences;
    • Driving participation in programs where regional resources are required, such as pilot programs or advisory councils; and acting as a change champion within the region, particularly where RETA and other team member processes are evolving.
  • Applies the Bank's risk appetite and risk culture in day-to-day activities and decisions.
  • Creates and builds a strong team culture that aligns with Scotiabank's Values, its Code of Conduct and the Global Sales Principles, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational, compliance, AML/ATF/sanctions and conduct risk.

Do you have the skills and requirements that will enable you to succeed in this role? – We'd love to work with you if have:

  • Post-secondary education
  • Professional experience/qualifications within the Trust or Wealth Management industry
  • (CETA / TEP, CSI, CFP, etc.)
  • 3-5 years of prior business experience with depth of industry knowledge and / or administrative procedures
  • Strong analytical, organizational, communication and interpersonal skills
  • Strong interpersonal, self-motivation, presentation, communication and written skills.
  • proficiency with Outlook, MS WORD & TEAMS, Excel, PowerPoint & Salesforce
  • Working knowledge of legal documents such as Wills, Trust Deeds and Powers of Attorney is an asset
  • Bilingualism (English-French) is an asset
  • High attention to detail and solid follow-through capabilities
  • Ability to prioritize several requirements at once and while under pressure
  • Excellent team player with the ability to work independently
  • Demonstrated initiative, pro-activity and sense of responsibility
  • Dedicated to service excellence for internal and external clients
  • Ability to effectively manage change
