Castle Hall is an entrepreneurial, dynamic and fast-moving company looking to add a Client Support Specialist to our Halifax team. This role is in response to the increasing demand for Castle Hall's services and the firm's commitment to executing an effective and well-constructed product. The successful candidate will be given the opportunity for personal and professional growth.

RESPONSIBILITIES

· Responsively and professionally address daily inquiries, ensuring an exceptional standard of customer service delivery.

· Maintain meticulous and current records within our CRM software, guaranteeing data precision and easy accessibility.

· Offer dedicated assistance to Castle Hall's leadership team and clientele.

· Cultivate robust communication channels by closely collaborating with staff across all offices on a daily basis.

· Cultivate and nurture enduring relationships with external parties and Castle Hall personnel.

· Contribute to fulfilling leadership obligations by providing vital insights and analytical support.

· Validate and organize diverse documents for Castle Hall's operations.

· Efficiently oversee and manage emails and support mailboxes.

· Collaborate closely with the leadership team on various projects and assignments.

· Manage diverse trackers essential for client support team operations.

· Address and promptly respond to diverse requests from support mailboxes.

· Analyze internal systems to proactively recommend enhancements for optimizing workflow efficiency.

· Create accurate and detailed reports for leadership on a weekly and monthly basis.

· Attend various meetings, diligently record minutes, and track outstanding action items.

· Undertake additional support and administrative tasks as needed by Castle Hall's leadership team.

DESIRED SKILLS AND EXPERIENCE

· A Bachelor's degree or College diploma in Finance, Business Administration, and/or a related discipline would be considered an asset.

· Exhibit a strong work ethic characterized by professional integrity and a positive, proactive attitude.

· Approach tasks with a pragmatic, solutions-oriented mindset, seeking effective resolutions to challenges.

· Display exceptional attention to detail, ensuring accuracy and precision in all work performed.

· Showcase excellent organizational skills, effectively managing tasks, priorities, and deadlines.

· Demonstrate computer proficiency, particularly with the full MS Office Suite, and showcase strong Excel skills.

· Present a polished, energetic, and professional demeanor, reflecting the company's values and commitment to excellence.

· Knowledge of the financial industry is considered an asset, enhancing understanding and context in the role.

· Prior experience in a similar role is an asset, providing valuable insights and familiarity with the responsibilities.

· Familiarity with HubSpot and SharePoint is considered an asset, facilitating seamless integration and workflow management.

· Possess the ability to adapt priorities and manage time effectively in a fast-paced environment, maintaining productivity and meeting deadlines.

· Foster the development and maintenance of collaborative working relationships, promoting teamwork and cooperation.

· Exhibit strong communication skills, both written and verbal, enabling effective interaction with team members and clients.

· Embrace a teamwork mindset, working collaboratively and cooperatively with colleagues to achieve shared goals.
