Main responsibilities
- Maintain Dispatch Board for Pre-Engineered and Engineered System Installations, Re-Pipes and Inspections
- Review Service Order Confirmations, set up new FSS Jobs & Service and Produce Work Packages to include applicable documentation, and JSA/Risk Assessments
- Preparation of input for invoicing – Service Tickets, Work Orders, installation reports, service reports, time sheets etc
- Project Management for pre-engineered and engineered systems: communicate with customer and internal personnel that sites are ready for installation
- Approving and reconciling all inputs for Jobs and Service Tickets in accordance to Job Process
- Review Deficiencies and send to Inside Sales for Quoting
- Completing & invoicing System Service Tickets & Jobs
- Generate Monthly Open Orders Reports for all Dispatch Boards
- Coordinate purchasing requests for parts/equipment purchase with Purchasing Manager
- Coordinate with Inventory Control for receipt of parts/equipment and transfer to service ticket/jobs
- In cooperation with Service Manager, coordinate System Service Techs Training and Maintain training files, Monthly
- Participate in JOHS Committee and Participate in Toolbox Talks, where required
Main Qualification
- Experience in a service coordination/ dispatch role is an asset but not required
- Able to meet deadlines through good time management and allocation of priorities
- Strong interpersonal understanding with an awareness of different cultures within the customer base, team and organization
- Fluent English - both in writing and speaking
- Computer literate -Proficient in MS Office Suite of Applications
- Good communication skills with the ability to communicate on all levels
- Ability to systematically work independently and in a team
