Job Information and Responsibilities
Under the direction of the Director, Employee Experience, the Labour Relations Assistant will:
- Be primarily responsible for the delivery of Academic Labour Relations support services specifically in support of the VP, Academic & Research (VPAR) responsibilities pertaining to the Collective Agreements at Saint Mary's University.
- Coordinate the annual cycle of processes associated with hiring, appointments, renewal, tenure and promotion of Faculty members and Librarians under the Collective Agreements.
- Coordinate the administrative requirements associated with the Collective Agreements.
- Under the direction of the Director, Employee Experience and the Associate Vice President, People and Culture, liaises with the University Counsel and external counsel (if required) and prepare materials(s) and correspondence related to Labour Relations issues.
- Alert VPAR regarding the need to consult the Union or to request a variance before taking a particular action; drafts appropriate correspondence for VPAR's signature.
- Coordinate and act as Recording Secretary for the University Appointments Committee. Responsible for tracking full-time tenure-track and terminal faculty positions from time of vacancy (including rationale for appointment) through advertisement, consideration by University Appointments Committee and issuing of formal contract letter.
- Support the development of ongoing training plan for chairs and coordinators on responsibilities under the collective agreements.
- Support the coordination of training for search committees and academic leadership on Equity Diversity Inclusion (EDI) and Diversity Excellence issues in consultation with the Director, Diversity, Inclusion and Wellness and the Manager, Talent Acquisition, as they pertain to the hiring and retention of faculty members.
- Compose business correspondence for VPAR's approval and signature.
Experience and Education Requirements
To be the successful Labour Relations Assistant you will have:
- High School diploma and a 2-year community college diploma or Certificate in Human Resources Management is preferred.
- Advanced working knowledge of relevant employment, labour and human rights legislation and regulations and collective agreements.
- Minimum of 2 years' experience at an academic institution or similar environment administering academic collective agreement(s) and understanding of the academic process / work environment.
- Excellent interpersonal skills; written and oral communication, conflict resolution, analytical and organizational skills.
- Ability to work in fast-paced, team-oriented environment and multi-task.
- Strong organizational skills.
- Computer competency essential (Microsoft Office).
- Experience with collective bargaining an asset.
- Experience with HRIS systems an asset.
