We are looking for an Accounting Clerk,you will workwith the Supervisor, Financial Shared Services or their designate, and be responsible for processing invoices for payment, preparing daily bank deposits, inputting donor and customer data in their respective financial systems, activating and processing emergency management reloadable payment cards, as well as, filing cheque images and registers. You will also support the short-term expansion of EM Payment Center during a large-scale response, which includes assisting with the onboarding, training, and coaching of temporary surge agents. The incumbent will support the on-call rotation for the EM program as determined by the Manager.
As an Accounting Clerk, your will work on:
  • Activation and processing of Emergency Management Payment Cards, documenting all information associated with the reloadable card within the applicable databases
  • Receive inbound and make outbound calls from emergency management and follow proper protocol to process and activate the payment card for the beneficiaries;
  • Coordinate the collection of statistics and provide detailed summary for the Manager
  • Management of Accounts Payable, review, verify, and balance invoices, cheque requisitions, and travel expense claims for proper approval, coding, and determines appropriate tax treatment;
  • Contact vendors, respond to staff inquieries on a regular basis to ensure accuracy of payments applied and taking any necessary action to satisfy the query;
  • Process Accounts Receivable, bank deposit, credit card transactions, refund and NSF payments, code, total, batch, enter, verify, and reconciles transactions;
  • Calculate, prepare and issue documents related to customer accounts such as invoices and statements;
  • Ensure month-end, quarter end and year end procedures are completed according to schedule.
  • Donation Processing, enter batches of payment information along with donor details, and update when necessary and prepare and/or review bank deposit slips
  • Follow Philanthropy Donations Handling Instructions (DHI) and Working Instructional Documents (WID) to ensure all funds are entered to the designation;
  • Scan all batches to the Society wide directory.

We are looking for:
  • Completion of secondary school with one to two years of post-secondary education in Business Administration, Finance or a related field, as well as, two years of administrative or accounting experience, or an equivalent combination of education and experience;
  • Bilingualism English-French is required;
  • Experience with Microsoft Dynamics AX is an asset;
  • Demonstrated computer skills of MS Office and ability to learn new software packages;
  • Strong excel skills;
  • Ability to handle highly confidential and sensitive beneficiary information;
  • Excellent customer service and organizational skills with the ability to prioritize and multi-task in order to meet deadlines;
  • Professionalism and interpersonal skills to work collaboratively within a team and build positive internal and external relationships;
  • Attention to detail and proven ability to problem solve as required;
  • A satisfactory Enhanced Police Information Check (EPIC) is required;

Working conditions:
  • This is a casual position. There is no regular work schedule and there is no minimum work volume guaranteed;
  • Must be available to participate in the on-call rotation and responds to calls afterhours, weekends, and holiday during the scheduled on-call period;
