Executive Assistant (C- SUITE & Finance) - 639

Our Client is currently seeking an experienced Executive Assistant for their St. John's office. As the qualified candidate, you will support the CEO, Executive and Finance team in a dynamic, changing environment. You will be a positive and self-motivated administrative ninja, responsible for providing above-average support and administrative finesse in a growing organization. You will be experienced working in an advanced ERP environment, performing both administrative and accounting duties.


Provide high-level administrative support for the CEO

Act as point of contact for the Executive team

Exercise proactive, detailed and accurate management of email and multiple calendars

Manage corporate travel for the CEO and others as required (international travel, flight passes, and other details necessary for travel arrangements)

Coordinate and manage building maintenance, office management and supplies

Prepare correspondence, reports, letters, memos and presentations

Plan, coordinate and organize meetings and office events/ functions

Full cycle responsibility for trade accounts payable - purchase invoices, account reconciliation and payments

Process accounts receivable invoices, send monthly statements and follow up on outstanding accounts

Compliance review and approval of all employee expense reports (policy compliance, coding and classification, tax compliance)

Enforce accounting and finance policies, procedures and internal controls

Maintain filing systems, electronic and manual

Receive and distribute mail

Respond to inquiries and provide information as required

Other projects and duties as required


5+ years experience as an Executive Professional/Administrative at the Senior Executive level

Post-secondary training in business or administration, or equivalent combination of education and work experience

Full-cycle accounts payable and receivables

Employee expense reports (policy compliance, coding/classification, tax compliance)

Exceptional organizational and time management skills

Proven ability to multitask and prioritize responsibilities

Advanced professional interpersonal, written and oral communication skills

High standards of ethics and confidentiality to handle sensitive information

Forward thinking and a keen eye for detail

Flexibility and willingness to "go the extra mile"

Proficiency in Microsoft Office (Word, PowerPoint, Excel, Outlook)
