About the Role

Eavor Technologies Inc. is seeking a highly motivated individual to join our multidisciplinary team in the role of Office Administrator based in the head office in Calgary, Alberta. Working with highly motivated international team, you will provide collaborative administrative assistance within the support services team and assist in the construction of the world's first closed-loop geothermal system.

Role Summary

The successful Office Administrator will be accountable to provide a multitude of office administrative functions that will ensure that each day is challenging and rewarding. Your goal is to keep our office running smoothly and efficiently and ensure that the Eavor team has the administrative support required to build the first ever Eavor-loop. This role is key to ensuring the Eavor office is a warm, welcoming, and inclusive environment for employees, leadership, and guests alike. You will ensure that our office operations are always running smoothly and will act as the point of contact for office queries. Our ideal candidate thrives in a fast-moving environment and is comfortable juggling multiple priories with a calm and professional demeanor.

This hybrid role is based in the head office in Calgary, Alberta.

Some of What you Will Do:

  • Support up to 6 Executives with their administrative needs and their ever-changing schedules as required including meeting room booking, travel and accommodations, manage emails when requested, flagging and printing of documents requiring signature, review and approvals, communication support (proofreading, editing etc.), group meeting bookings and complex expense report completion.
  • Work with Eavor marketing / communications team to ensure the Eavor brand is reflected appropriately both internally and externally.
  • Interactions with internal and external groups and managing interactions and communications with Eavor for topics such as conferences, media appearances, on site guest meetings etc.
  • Ensure the smooth operation of the office by overseeing all facilities tasks to maintain an organized and efficient work environment.
  • Act as a central point of contact for internal and external collaborators, demonstrating excellent communication skills and the ability to handle confidential information with discretion.
  • Plan and execute office events with meticulous attention to detail, overseeing all logistical aspects to ensure smooth operations.
  • Collaborate on facilities management with senior managers and execution of tasks associated with managing multiple floors of employees.
  • Manage executives' schedules, travel, calendars, meetings and events as requested.
  • Manage office supplies and inventory and place orders as requested and as necessary.
  • Order internal lunches, book dinner engagements, and manage guests visits and itineraries as required.
  • Ensure all office equipment is operational at all times including kitchen equipment (microwave, dishwashers, fridges, coffee/ice machines, etc.) and working with IT to ensure all IT related equipment is working at all times including printers (clearing paper jams, changing ink, etc).
  • Cleaning and maintaining public areas of our office as required.
  • Manage meetings, meeting rooms and meeting bookings as required including assistance with meeting room technology.
  • Perform receptionist duties, greet visitors, manage couriers, general office and kitchen tidiness and clean-up, mail, answer phone calls and online info requests as required.
  • Provide other general administrative support as necessary, including scheduling group meetings, completing expense reports as requested, printing, and planning internal & external company events including team builders.
  • Booking external meetings, reservations, managing Eavor gifts, assisting with managing Graf & Garb, online store, and help with catering etc.
  • Manage confidential documents for signing, forwarding and liaison with legal etc. as required.
  • Other duties as assigned.

Some of What you Will Need:

  • 7+ years of administrative work experience in a professional environment
  • A can-do attitude with the ability to support the business in a friendly, effective, calm and professional manner.
  • Proficiency in MS Office suite of products.
  • Strong organizational skills and effective time management abilities.
  • Proactive, self-motivated individual with excellent communication and interpersonal skills.
  • Capacity to work both independently and collaboratively within a team environment.
  • Excellent communication, interpersonal skills, adept at building and maintaining relationships.
  • Attentive to detail, committed to ensuring accuracy and quality in all tasks.
  • Ability to adapt and jump into any assigned projects with enthusiasm.
  • Previous experience in a role that has changing priorities and short deadlines.
  • Proven ability to learn new software, processes and systems.
  • Ability to work with minimal direction and supervision.
  • Growth-mindset and curious to probe, discover, and solve problems.
  • Strong ability to manage and prioritize projects and tasks effectively.
  • Must be legally authorized to work in Canada without restrictions.
