Reports to: Hospital Director & Assistant Hospital Director

Department: Operations

Status: Full-time Permanent (40 hours per week)

Overview

We are seeking a motivated, team-oriented, and passionate Administrative Assistant to join our growing emergency and specialty hospital. This position will consist of five 8-hour shifts Monday to Friday.

Position Summary

The Administrative Assistant is responsible for developing plans and programs to represent Pulse Veterinary Services and Emergency (“Pulse”) and make positive contributions to the business and the community. They will develop and maintain positive relationships between Pulse and its employees, external organizations, and our local and virtual communities. The Administrative Assistant will also support marketing initiatives and act as an ambassador of Pulse at corporate or public events while remaining aligned with the strategy, commitments, and goals of the organization.

The Administrative Assistant will have regular collaboration with and report to both the Hospital Director and the Assistant Hospital Director.

Duties and Responsibilities

  • Events & Community Involvement - coordinate community outreach programs and special events that promote Pulse's products, services, and ideas, including clinic visits and continuing education events for Pulse.
  • Marketing – draft and distribute creative and innovative communications that promote Pulse both externally and internally.
  • Organize clinic events, continuing education seminars and staff appreciation days.
  • Order and track clinic supplies, groceries, and Pulse's branded items.
  • Manage Pulse social media and website content.
  • Monitor and mange Pulse mailbox and packages.
  • Manage Pulse daily deposits and accounts receivable.
  • Adhere to the hospital's health and safety policies.

Other duties will be assigned as required.

Qualifications

The ideal candidate will have:

Education and Experience

  • Post secondary education in administration, communication, marketing, or a related field.
  • Minimum 3 years of work experience in administration or related field.
  • Previous experience working in a clinic environment would be considered an asset.

Knowledge, Skills and Abilities

  • Fluent in Microsoft Outlook, Microsoft Office, and database management.
  • Exceptional interpersonal, verbal, and written communication skills
  • Ability to work well under pressure and manage sensitive subjects with tact, kindness, and professionalism.
  • Strong time management and organizational skills including the ability to plan, coordinate, multitask, prioritize, and carry out tasks independently.
  • Genuine interest and initiative to help Pulse be the best practice it can be.
  • Intrinsic desire to grow personally and professionally.
