PURCHASING ADMINISTRATOR
Department: Shared Organizational Services

Reports to: Chief Financial Officer

JOB PURPOSE

The Purchasing Administrator works with sales, vendors, and accounting to execute core business processes. Responsible for converting quotes into service orders, placing purchase orders with designated vendors, processing goods receipts, and initiating invoice processing. The Purchasing Administrator ensures efficient execution of procurement processes and supports Netagen's overall operations.

PRIMARY RESPONSIBILITIES

Quote Conversion and Service Order Management

  • Convert quotes generated by the Sales department into service orders within the company's system.
  • Consult with Sales to verify accuracy and completeness of information provided in quotes as required to ensure seamless transition to service orders.

Purchase Order Placement

  • Place purchase orders with designated vendors based on instructions from the Sales department on the quote within specified timelines.
  • Maintain effective communication channels with vendors to track order status and resolve any issues that may arise during the procurement process.

Goods Receipt Processing

  • Receive and review invoices from vendors, matching them against corresponding purchase orders.
  • Process goods receipts in Netagen's system.

Customer Invoice Processing

  • Initiate processing of invoices in Netagen's system based on instructions provided on the quote prepared by sales.

Continuous Improvement

  • Identify opportunities for process improvements within the procurement function and communicate to CFO.

SKILLS & EXPERIENCE REQUIRED

  • 2+ years experience in a similar role, preferably in a reselling or distribution environment
  • Strong understanding of procurement processes and principles.
  • Proficiency using ERP systems.
  • Excellent communication and interpersonal skills.
  • Detail-oriented with strong organizational and time management abilities.
  • Ability to work effectively in a fast-paced environment and manage multiple priorities simultaneously.
  • Analytical and problem-solving skills.
  • Commitment to upholding ethical standards and compliance with company policies and regulations.
