The Role

As the Office Administrator, you will be the first impression of The Foray Group. The Office Administrator is an integral part of the office administration and a key support to the CEO and Executive Assistant, and must be an ambassador of our brand and organizational culture – this person must radiate friendliness, positivity, and the heart & warmth that our organization thrives on. This position will function as a liaison between the company and external contacts as well as all six of its internal divisions, which will require strong communication skills. The position includes a wide variety of responsibilities and is inclusive of both confidential administrative and secretarial duties.

Success

Integral to the success of this position is the ability to work with all levels and roles within the organization, as well as third-party customers, clients, vendors and service providers. Success in this role involves being a Trusted Partner to the businesses by understanding their key objectives, initiatives and needs, as well as possessing skills and intuitive knowledge to operate modern technological devices effectively. The successful candidate must be able to work in a fast-paced environment, must be flexible, agile, resilient, self-disciplined, and must have a growth mindset, strong time and priority management skills, with excellent attention to detail.

Schedule

Full-time Permanent, Monday through Friday, core hours of 8:30am – 5:00pm with some flexibility required.

Qualifications and Experience

  • Secondary School Diploma or Equivalent
  • 2 years' experience in an office administrative role
  • Post-secondary Diploma or Degree in a business related field is considered an asset
  • Must have a valid driver's license and a vehicle

Duties and Responsibilities

Administration

  • Provide general administrative and clerical support to the CEO and Executive Assistant as needed
  • Review office related invoices and reconcile to ensure accuracy
  • Complete Visa Reconciliation for the CEO, and review Visa Reconciliations from Business Heads for accuracy and submission to the CEO
  • Complete Expense Report for the CEO, and reconcile Expense Reports from Business Heads for submission to the CEO
  • Manage bi-annual Iron Mountain storage needs, including record keeping
  • Assist with Corporate Calendar management
  • Document and Cloud File management
  • Answering telephone calls, and directing calls to appropriate parties
  • Direct external correspondence and inquiries to the appropriate staff
  • A Culture Champion who will support, assist, and participate in culture initiatives
  • Running office errands as needed

Office Responsibilities

  • Greet guests entering and visiting the organization and ensure they are signed in/out
  • Maintain a clean and organized office environment to ensure a professional appearance
  • Manage internal meeting room bookings
  • Programming and disabling of building entry devices
  • Receive/sort/date/distribute incoming mail, faxes and deliveries
  • Prepare outgoing mail
  • Prepare outgoing and receive incoming courier packages
  • Organize shipping and receiving for large mailings
  • Maintain and order office supplies as needed
  • Maintain office supply inventory list
  • Ensure office supply room is organized
  • Monitor and maintain office equipment and arrange for service as required
  • Manage the tracking and follow up of any required office repairs and maintenance
  • Update and manage the suppliers and vendors list as needed
  • Arrange for catering as needed
