Job Summary:
TWD is currently looking for a Junior Document Controller/Operations Admin. This is a full-time position based in Calgary. Your role will be to support the Document Control Lead with project deliverables management and the Western Canada Secondment Lead with Secondment program management.

Responsibilities would include (but not limited to):
Document Control:

  • Managing all incoming and outgoing engineering documents including tracking, distribution and delivery in both paper and electronic version.
  • Ensuring proper document classification, sorting, filing and proper archiving.
  • Reviewing the project procedure and specifications including client requirements and project procedures.
  • Processing engineering documentation, some of which include; in-house documents, and drawings for both engineering and sub-contractor documentation.
  • Processing client comments and client reference documentation for each project.
Operations Administration:
  • Support Management with the day-to-day operations of the TWD Western Canada Secondment Program – manage onboarding of new hires, shift scheduling, flight booking and tracking, lodge booking and tracking, client system onboarding, safety training management, PPE management, etc.
  • Manage day-to-day requests from Western Canada Secondees – support Secondees and problem solve when issues arise, organize and facilitate regular updates with the Secondees,
  • Prepare and issue daily, weekly and monthly reports requested by clients.
  • Schedule and facilitate weekly update meeting with Secondment Lead to report on ongoing tasks.
  • Calgary office management – professionally greet all visitors, general office and staff support, office maintenance (maintain cleanliness of communal office areas and oversee office services), office supply management, answer and respond to phone calls, assist and coordinate with IT services and HR for new hire equipment requirements and set-up, etc.
  • Other duties as assigned.
Requirements and Qualifications:
  • Technical diploma or equivalent combination of education and experience.
  • Minimum 2-3 years of previous experience in document control.
  • Minimum 1 year of previous experience in document control with an EPCM firm.
  • Experience in Newforma software would be considered an asset.
  • Familiarity with Records Information Management (RIM) concepts.
  • Computer savvy; able to quickly learn new software.
  • Proficiency with MS Office suite is required.
  • Strong communication skills (verbal and written).
  • Ability to act in a confidential and sensitive manner.
  • Attention to detail and ability to maintain confidential information is critical.
  • Performs routine assignments utilizing techniques in accordance with established standards and procedures.
  • Must have a willingness to learn and self-improve.
  • Must be legally entitled to work in Canada.
