Position: Personal Assistant
Reports to: Senior Vice President
Department: Administration/Management
Hiring Level: Entry Level
Contract Length: Permanent with a 6-month probation period
Workplace: Primarily at the Senior Vice President's home (may require travel with her family)

Responsibilities:

  1. Coordinating and managing communication with household service personnel, including nannies, chefs, tutors, doctors, coaches, renovation companies, and schools.
  2. Daily transportation of children to and from school, including evening drop-offs to tutoring classes (requires a valid driver's license).
  3. Acting as a liaison on behalf of the Senior Vice President to oversee household service personnel, such as nannies and housekeepers.
  4. Arranging daily work and personal activities for the Senior Vice President and their family, including transportation, visa applications for overseas visits, travel arrangements, study tours, hotel bookings, and other personal arrangements.
  5. Flexibly coordinating tasks and work schedules based on the needs of the personal assistant (education direction).
  6. Prepare and manage the Senior Vice President's personal documents, including tax-related matters.
  7. Ensuring the security of sensitive information and managing selected accounts belonging to the Senior Vice President.
  8. Handling procurement and payment matters related to the Senior Vice President's personal affairs.
  9. Managing and arranging personal and work-related matters as authorized by the Senior Vice President.

Qualifications:

  1. Prior experience of at least three years as an executive assistant or administrative assistant is preferred.
  2. Excellent organizational and coordination abilities.
  3. Strong communication skills, excellent written and verbal communication abilities, organizational and management skills, public relations skills, and overall coordination abilities.
  4. Ability to remain calm and handle unexpected situations in a fast-paced environment.
  5. Native Chinese speaker with proficiency in spoken and written English, with a minimum score of 7 on the IELTS or an equivalent English proficiency level. Proficient in using various office software.
  6. Demonstrated enthusiasm and interest in assistant work, with a passion for clerical positions.
  7. Honest, gentle, patient, meticulous, responsible, polite, and able to handle pressure.
  8. Self-driven with problem-solving skills.
  9. Bachelor's degree or above; preference given to candidates with education, legal, economics, or English-related majors.
