OPPORTUNITY:

HEABC's Human Resources Strategies Services (HRSS) Department has two (2) openings for an Executive Coordinator. Reporting to the Vice President or Executive Director, as assigned, the Executive Coordinator provides proactive administrative support, project coordination and communications assistance to senior leaders in the department. The demanding and ever-changing nature of the environment adds complexity to the administrative role and requires flexibility to assist others in achieving time-structured goals.

The successful candidate will be a resourceful, highly organized, self-motivated professional who is proactive and anticipates the needs of internal and external partners and thrives in delivering superior support in a complex environment.

Role Key Responsibilities:

  • Schedules meetings and appointments for HRSS Senior Leaders.
  • Prepares meeting and meeting agendas; prepares and distributes meeting minutes; communicates committee decisions, and initiates and/or completes any required follow-up.
  • Makes travel arrangements for HRSS Senior Leaders, as required.
  • Completes a broad variety of administrative tasks including conducting research, completing reports, composing and preparing correspondence that may be complex and/or confidential.
  • Supports the collection, consolidation, and presentation of data for a variety of reports.
  • Supports the HRSS departmental new-hire orientation, ensuring all new staff receive timely and appropriate onboarding support.

Required Experience & Knowledge:

A level of education, training and experience equivalent to a business administration diploma plus a minimum of five (5) years' recent, related experience in progressively more responsible and complex administrative/executive support positions, including at least one (1) year supporting senior executives or providing project coordination, or an equivalent combination of education training and experience.

  • Excellent communication skills and organizations skills with advanced computer skills.
  • Effective interpersonal skills and the ability to work effectively with a wide range of individuals both internal and external to the organization.
  • Ability to manage multiple projects with competing and/or changing deadlines.
  • Ability to take initiative to resolve problems and follow up on matters of significance under minimal direction.
  • Exercise considerable judgment, tact, confidentiality and discretion in preparing, disclosing, handling and communicating information of a confidential and/or sensitive nature.
  • Demonstrated time management skills to plan, manage, and coordinate the HRSS Senior Leaders activities and major functions.

Salary Range: $60,427 to $79,310

Typical Hiring Range: $60,427 to $75,533

In determining salary, HEABC considers many factors including the successful candidate's skillset and experience as well as internal equity. The final salary offer will be at HEABC's sole discretion and presented as part of a competitive total compensation package.
