Job Summary
CWF is looking to hire a bilingual Receptionist based out of Head Office in Ottawa, ON. Reporting to the Operations Manager, this role will primarily be responsible for creating a positive and lasting first impression for all who interact with CWF in both official Canadian languages. The incumbent will be responsible for handling a variety of administrative and clerical tasks, ensuring the smooth flow of day-to-day operations, and providing outstanding reception service to the different parties who may contact CWF. The ideal candidate will possess the experience and education mentioned below, in addition to strong leadership and communication skills.

Job Duties
Front Desk Management:
  • Greet visitors, clients, and employees with a warm and professional demeanor.
  • Manage incoming calls, transfer calls to appropriate individuals, and take accurate messages when necessary.
  • Maintain a tidy and organized reception area.
Visitor Assistance:
  • Register guests and provide them with visitor badges.
  • Assist visitors with inquiries and provide directions as needed.
  • Notify employees of visitor arrivals promptly.
Administrative Support:
  • Perform general clerical duties, including photocopying, faxing, scanning, and filing.
  • Receive and distribute incoming mail and packages.
  • Update constituent information and maintain integrity and accuracy by following set procedures.
Communication:
  • Communicate effectively with internal staff and external stakeholders.
  • Relay important messages and updates to the appropriate parties.
  • Manage and respond to email inquiries in a timely manner.
Security and Access Control:
  • Ensure the security of the premises by monitoring access control systems.
  • Follow established security protocols for visitor sign-in and access.
  • Maintain a high level of confidentiality in all interactions.
Ad Hoc Support:
  • Provide administrative support to various departments as required.
  • Assist with special projects and tasks as assigned.

Experience and Education
  • High school diploma or equivalent.
  • Previous experience of three years or more in a receptionist or administrative role is a plus.
  • Fluent in English and French (Verbal and written)
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent communication and interpersonal skills.
  • Professional appearance and demeanor.
  • Strong organizational and multitasking abilities.
  • Attention to detail and a donor-focused mindset.

Work Conditions
  • Permanent, full-time at 37.5 hours per week, Monday through Friday.
  • Based at CWF's Head Office in Ottawa, ON, in-office 5 days per week.
