Core Responsibilities

As Legal Assistant within our Family Law Team your responsibilities will include:

  • Finalizing transactions procedure in Closing Folders
  • Reviewing and prioritizing incoming and outgoing mail/couriers, coordinating faxes, and scanning/copying documents;
  • Processing, updating, and tracking PDF files; including page organization & replacement, version control, integration with DocuSign, and sharing/storing across multiple locations in collaboration with internal and external clients;
  • Drafting routine correspondence for lawyer review;
  • Transcribing dictations using appropriate format, producing documents, correspondence, and all follow-up work as directed;
  • Answering client inquiries, taking care of drop-in clients/cold calls, and communicating with key parties in a timely manner;
  • Booking client meetings, etc., and maintaining lawyer schedule and agenda;
  • Conducting client intake, completing conflict searches, and opening new client files;
  • Maintaining up-to date and accurate electronic and paper client files with the use of a document management system;
  • Processing large volumes of documents with ability to use technology to store and organize files diligently; and,
  • Assist other Family Law team members as needed.

Key Skills

The ideal fit for this role requires the following combination of qualifications, skills, and experience:

  • Graduate of a Legal Assistant/Paralegal diploma program or equivalent combination of training and experience
  • Detail oriented and meticulous
  • Proficient in thinking critically and solving problems
  • Strong verbal and written communication skills with a demonstrated ability to work with multiple stakeholders
  • Proven ability to manage time and demonstrated ability to handle multiple priorities in a deadline driven work environment
  • Ability to be self-motivated and autonomous
  • Excellent team player who contributes positively to team culture
  • Adept at using technology such as Outlook and the full Microsoft Office suite, and a talent for learning new computer programs quickly
  • Knowledge of Athennian, Closing Folders, and ProLaw an asset
