Why we have this role:

As the Commodity and Invoicing Administrative Assistant you will support the DSC division and the GVF group Finance department. In this role, you will be responsible for managing all related invoicing for the DSC division (contracts, sales/purchases orders and shipping documents) and invoicing DSC's customers. You will work closely with the Commodity Specialist and assist with scheduling and coordinating freight when needed. Lastly, you will support the Finance team with sales invoicing and inventory-related functions.

Working with us:

The hours of work are Monday to Friday from 8:00am to 5:00pm with a one-hour unpaid lunch. There may be times where you will be required to work outside of these standard hours. This position is an in-person role that will be based out of our head office on Savage Drive in Cambridge, Ontario.

What you'll do:

  • Manage all related DSC administration and invoicing using Great Plains including preparing sales and purchase orders, shipping documents, completing final invoices for customers and any related data entry of contracts.
  • Daily sales invoicing and purchasing/payables of all dairy bulk supplements and complete feed shipments using Great Plains.
  • Daily review and posting of ingredients received at the mill and warehouses.
  • Weekly/Month-end review of inventory listings and follow-up of unusual items.
  • Assist supply chain team with monthly inventory cycle counts including preparation of cycle counts and variance follow-up.
  • Daily/weekly review and posting of inventory adjustments/transfers.
  • Perform month-end accounting duties with the accounting department and communicate with GVF's Credit Manager on accounts that are new or on credit hold.
  • Monitor plant SBM and DDGS inventories and communicate with DSC Commodity Specialist to arrange deliveries as needed.
  • Gain an understanding of ordering, scheduling, and pricing commodities in order to be able to cover when the Commodity Specialist is away.
  • Project and schedule commodities deliveries for regular customers and customers who have contract
  • Weekly scheduling of-products, maintenance of spreadsheets and communicating plan to producers and freight companies.
  • Prepare DSC material for events such as the Outdoor Farm Show, Pork Congress, and Dairy Expo co-ordinating attendance with DSC Business Development Manager and Commodity Specialist.
  • Prepare and distribute Christmas gift packages complete with cards utilizing couriers.

Your background includes:

  • A High School Diploma and at least 3+ years of related experience; OR
  • A completed 1-year certificate in Business Administration or Accounting, and at least 2 years of related experience.
  • Strong analytical and problem-solving skills.
  • Demonstrated ability to use and learn financial and related systems.
  • Highly developed interpersonal and communication skills.
  • Proficient in math and comfortable working with numbers.
  • Proven time-management, organizational, and decision-making skills
  • Ability to initiate and follow tasks through to completion.
  • Able to work independently and as a part of a team.
  • Strong computer skills in Word, Excel and Outlook.
  • Experience using Great Plains considered an asset.
