SBM is currently seeking an Administrative Assistant in our London Office. The successful candidate will be responsible for assisting the mechanical and electrical divisions with administrative tasks for the team.

SBM is an established multi-disciplinary Planning, Civil, Structural, Mechanical, and Electrical Engineering firm that utilizes a team first, collaborative approach to building engineering. We are a fast growing, energetic company that encourages personal growth and forward thinking. We are looking to add like-minded individuals to our team. SBM has offices in London and Kitchener, providing engineering services to a variety of private and public sector clients across Southwestern Ontario. The firm employs over 120 engineers, engineering trainees, technologists, technicians, planners, and administrative personnel.

Key Responsibilities:
  • Prepare reports, letters, proposal templates and other documentation.
  • Track received documents and assist in tracking responses and deadlines.
  • Schedule and confirm site visits.
  • Prepare meeting minutes as required.
  • Manage travel itineraries including booking/purchasing transportation or accommodations as required.
  • Prepare and track proposals and assist with project setup.
  • Other administrative tasks and support as required.
Skills / Qualifications:
  • Completion of post-secondary education required; preference for Diploma in Office Administration or Administrative Assistant.
  • 1-3 years experience in an administrative assistant or similar role preferred.
  • Proficient in MS Office Suite (Excel, Word, Power Point, Outlook, and Teams) and excellent computer literacy required.
  • Strong organizational skills.
  • Knowledge and/or experience in the building construction field considered a strong asset.
    • Experience with proposal or construction report writing preferred.
  • Access to reliable transportation for travel within London and surrounding area and Valid class “G” Ontario Driver's License.
  • Strong integrity and ability to maintain confidentiality and sensitive information.
  • Effective written and verbal communication skills including editing and proof-reading.
  • Strong attention to detail & accuracy.
  • Exceptional initiative and ability to work with little supervision.
  • Self-motivated team player who is adaptable and flexible to changing priorities.
Company Summary:
This is a full-time position with a competitive salary and annual performance bonus. SBM offers a positive working environment and a good relationship with our employees which translates directly to better customer service and a superior finished product for our clients. The successful candidate will typically work 8am-5pm Monday-Thursday and 8am-2:30pm on Fridays.
