SALARY: $56,394 - $66,362

ACCOUNTABILITY STATEMENT:
The Operations Support Assistant role will be responsible for the setup, preparation, monitoring and reporting of UKG (Kronos) related actions and statistical information. They will provide day to day administrative support to the department and management team.
MAJOR DUTIES/ RESPONSIBILITIES:
  • Maintain employee and group profiles in UKG to ensure accurate payroll information
  • Provide training to all management and unionized employees in the use of Kronos Time Management System
  • Provide daily monitoring and amendments to all clocking in/out and payroll operations of the Kronos Time Management System
  • Analyze data and make recommendations to the Operations Support Manager
  • Create, input, and maintain schedules in Kronos as directed by the supervisors/managers
  • Extract operational statistics as required
  • Liaise with IT, Payroll, HR departments and Kronos for all customer support and ongoing development
  • Travelling occasionally to train supervisors as the system is rolled out to new locations and maintain training documents
  • Work with management to schedule and maintain accurate vacation and bank time requests and input into Kronos
  • Schedule overtime and perform necessary overtime call requests
  • Create employee self-serve transactions for sickness, departmental changes, salary increases, apprentice rate progressions, terminations, various leaves to ensure records are up to date
  • Enter pay rates for unionized employees into the system
  • Seniority List – Track and document all new hires, terminations, retirements, and status changes and provide as requested and according to Collective Agreements
  • Prepare reports related to staff/budget entries
  • Bulletins – Create both initial bulletin posting and response bulletins when required
  • Provide report to apprentice coordinator regarding monthly apprentice and relieving supervisor hours
  • Coordinate and assist management in conducting investigations when requested
  • Assist employees and HR with retirement, resignation requests and vacation calculations and submit declaration forms and calculations to HR as required
  • Issue reminders and track employee yearly NDR eye testing
  • Perform other duties as required
REQUIREMENTS:
  • Secondary School Diploma or General Educational Diploma (GED)
  • 2 to 3 years of recent experience of office management including payroll, database and records management
  • Experience using payroll systems, AS400, Sequel, Kronos or other query-based computer software
  • Ability to teach others new software
  • Experience in database management, downloading and manipulating data
  • Advanced knowledge of Microsoft Office Suite
  • Experience interpreting collective agreement language
  • Attention to detail and strong analytical skills
  • Ability to meet strict deadlines
  • Excellent communication skills including effective listening
  • Coordination, organization and leadership skills
