Job Summary:

The Accounting Clerk plays a role in supporting accounting processes, and contributing to the smooth operation of the finance and accounting department. They work closely with other members of the finance team to ensure the integrity of financial data and support the organization's overall financial goals. Accounting clerks often have access to sensitive financial information. Maintaining confidentiality and adhering to data security protocols is crucial in this role.


Job Responsibilities:

Your supervisor may from time to time ask you to perform other related duties not specifically included in this job description. This job's key responsibilities include:

  • Expense Management: Reconciling employee expense reports, verifying receipts, and ensuring compliance with company policies and procedures. This may involve coding expenses to appropriate accounts and preparing reimbursement checks.
  • General Ledger Entries: Assisting with data entry and posting of financial transactions into the general ledger system. This includes recording journal entries for various transactions such as payroll, accruals, and depreciation.
  • Bank Reconciliation: Reconciling bank statements with company records to ensure accuracy and identify discrepancies. This involves matching transactions, resolving variances, and investigating any discrepancies.
  • Financial Reporting: Assisting in the preparation of financial reports and statements, such as balance sheets, income statements, and cash flow statements. This may involve compiling data, formatting reports, and performing basic analysis.
  • Audit Support: Providing support during internal and external audits by preparing requested documents, reconciliations, and schedules. Assisting auditors with inquiries and providing explanations for financial transactions as needed.
  • Administrative Tasks: Performing various administrative tasks to support the finance and accounting department, such as filing documents, maintaining records, and responding to inquiries from internal and external stakeholders.
  • Compliance: Ensuring compliance with accounting standards, company policies, and regulatory requirements. This may involve staying updated on relevant regulations and assisting with compliance-related activities as needed.

Job Qualifications:

  • Education: A high school diploma or GED is usually the minimum educational requirement
  • Work Experience as an accounting clerk or administrative assistant would be ideal.
  • Attention to Detail: Accounting clerks need strong attention to detail to accurately record financial transactions, reconcile accounts, and prepare reports.
  • Organizational Skills: The ability to organize and maintain financial records, invoices, and other documents is essential for accounting clerks to perform their duties efficiently.
  • Numerical Aptitude: Accounting clerks should have a solid understanding of basic math principles and be comfortable working with numbers and calculations.
  • Computer Proficiency: Proficiency in using accounting software, spreadsheets (e.g., Microsoft Excel), and other financial management tools is important for accounting clerks to perform tasks such as data entry, report generation, and analysis.
  • Communication Skills: Effective written and verbal communication skills are necessary for accounting clerks to interact with colleagues, vendors, and other stakeholders.

Working Conditions:

  • Office Environment: Accounting clerks typically work in office settings, either in a corporate office or a finance department within a company. They may work at a desk or workstation equipped with a computer, phone, and other office equipment.
  • Regular Hours: Accounting clerks usually work regular business hours, typically Monday through Friday. However, overtime may be required during busy periods, such as month-end or year-end close, or to meet deadlines for financial reporting or audits.
  • Computer Work: Much of the work performed by accounting clerks involves working with computers and accounting software to enter financial data, reconcile accounts, generate reports, and perform other tasks. This can involve prolonged periods of sitting and working on a computer.
  • Data Entry: Accounting clerks may spend a significant amount of time entering financial transactions, invoices, and other data into accounting systems. This requires attention to detail and accuracy to ensure that financial records are maintained correctly.
  • Repetitive Tasks: Some aspects of the job, such as data entry and routine bookkeeping tasks, may be repetitive in nature. While these tasks are important for maintaining accurate financial records, they may require focus and attention to avoid errors.

Environmental, Health and Safety Expectations:

Employee Responsibilities:

  • Work in compliance with ABC Standards, EHS Policies, Local, Regional and Federal acts, bylaws, and regulations.
  • Report any spills or leaks immediately.
  • Use personal protective equipment and clothing as required.
  • All Employees shall follow Site Workplace Safety Guidelines.
  • No Employee shall remove or make ineffective any protective device and must report missing or damaged protective devices.
  • No Employee shall use or operate any equipment, machine, or device in a manner that may endanger themself or another worker, including the operation of equipment, machine, or device without proper training or certifications where required.
  • No Employee shall engage in horseplay or unsafe acts.
  • Employees must immediately report any hazard(s), unsafe act/condition, near miss or incident regardless of severity to their Group Leader.
  • All Employees must maintain a drug and alcohol-free workplace in compliance with the substance abuse policy.

Security and Housekeeping:

  • Ensure visitors and contractors follow the Contractor Management Policies / Site-specific Procedures.
  • All Employees must use the designated employee entrance and exit doors. Under no circumstances can employees prop or cause to remain open any entrance or exit door that could permit entry to the facility for unauthorized individuals.
  • All employees shall ensure the building is always clean and a safe workplace.
  • No food or drink is permitted in the warehouse or production area, unless in a spill proof container. All other food and drink items must remain in the designated break areas.
