We are currently looking for a Project Administrator join our Emergency Response Planning (ERP) Services team. As a Project Administrator, your day-to-day will include collaborating with cross-functional teams for the development and execution of effective emergency response plans, ensuring they meet or exceed client expectations and internal quality standards. The role requires a combination of strong organizational skills, effective communication, and a meticulous approach to documentation in the critical field of emergency response management.

What You'll Do & How You'll Make an Impact

Plan Administration:

  • Draft, proof, and maintain Emergency Response Plan (ERP) documentation (i.e., site sections, Core documents, public information pamphlets); make updates to existing documentation, or build new documentation, ensuring compliance with Company standards, applicable regulations, and/or specific client customization requirements.
  • Attend internal project kickoff meetings as needed, and assist in preparing information gathering material under supervision.
  • Research and verify emergency contact information, key client contact information, available support services and equipment, and other details for area stakeholders.
  • Accurately charge time to projects and input data into the internal database, and capture any deviations from project scope.

Stakeholder Consultation & Notification:

  • Collaborate with internal departments to gather relevant information for stakeholders in affected areas. Ensuring alignment of consultation and notification processes with regulations and project requirements, notify area stakeholders.

Cross-functional Team Collaboration:

  • Liaise with relevant H2Safety departments on project tasks related to the production and completion of ERPs, and coordinate flow of information and documentation among various project stakeholders.
  • Prepare for and attend applicable meetings with project team and provide regular progress updates on assigned tasks.

Regulatory Knowledge & Submission:

  • Build knowledge of relevant legislation, regulations, and compliance standards as they apply to the development and maintenance of ERPs.
  • Under the direction of Senior Project Administrator, Project Lead or Project Manager, assist with document and file preparation for regulatory submission and approval.

Quality Assurance:

  • Utilize a comprehensive understanding of H2Safety's internal standards, client specifications, and regulatory requirements to ensure compliance with ERP documentation.
  • Review and refine document content and layout to align with project deliverables. Focus on creating clear, concise documents that facilitate seamless information flow across all project documentation.
  • Proactively identify opportunities to enhance procedures and processes, making recommendations where applicable. Additionally, seize opportunities to impart knowledge and mentor junior team members, fostering a culture of continuous improvement and professional development.

What We're Looking For

  • Bachelor's degree or diploma in business, emergency management or related field.
  • Proficient in the use of Microsoft Office Suite.
  • Strong communication skills, both written and verbal, to effectively interact with internal teams, external stakeholders, and clients.
  • The ability to take initiative and work with ambiguity to continue to drive projects and deadlines forward.
  • Strong attention to detail to ensure that all work is completed to the highest standards.
  • Ability to adapt to changing project requirements, priorities, and timelines. Flexibility in handling unexpected challenges.
  • The ability to work well independently, but also to collaborate as part of the wider team.
  • Ability to research and problem solve (i.e., determine source of a problem and determine an effective solution)

Bonus Experience

  • Formal training or certification in Microsoft Office Suite.
  • Previous work experience in the oil and gas industry.
  • Completion of Incident Command System (ICS) 100.
  • Previous experience in emergency response.
  • Previous experience working in project administration.
  • Understanding of ERPs and/or knowledge of emergency response related legislation, regulations, and compliance.
  • Mapping knowledge (i.e., how to read maps based on DLS system / NTS).
