Position Summary:

We are seeking an experienced Executive Administrator to provide comprehensive administrative support to our Executive Director and Leadership team. As the Executive Administrator, you will play a crucial role in ensuring the smooth operation of our organization by handling a wide range of administrative tasks, including research, report preparation, correspondence management, and event organization. Additionally, you will be responsible for providing Human Resources administrative support as needed. This role offers a dynamic environment where responsibilities may evolve based on agency needs.

Reporting Structure:

Reports to Executive Director

Prime Functions:

Organization & Administration:

  • Coordinate meetings, company events, and special gatherings as required.
  • Provide logistical support to committees, including Wellness Committee and Health and Safety Committee.
  • Manage room and meeting bookings, including virtual setups.
  • Stay updated on technical and professional information relevant to the role.
  • Handle confidential information, maintain files, and take memos.
  • Conduct research and prepare information for executive needs.
  • Provide backup support for front desk and reception.
  • Manage travel and lodging bookings.
  • Maintain understanding of the organization's structure, policies, goals, and objectives.
  • Monitor BCBid weekly for opportunities.
  • Supervise practicum student requests and allocations.
  • Perform company credit card reconciliation.

Written & Verbal Communication:

  • Take accurate minutes at assigned meetings.
  • Prepare reports and presentations as required.
  • Complete capital purchases as directed by leadership.
  • Ensure policies are up-to-date and compliant.
  • Answer phone inquiries and direct calls for the executive team.
  • Act as a liaison for the executive team.

Qualifications:

  • Post-secondary education in business administration or related field preferred.
  • 3-5 years of prior experience in mid- to senior-level administration, business, management, or related field.
  • Accounting education and experience considered an asset.
  • Proficiency in MS Office Suite with a minimum typing speed of 40 WPM.
  • Advanced organizational skills with the ability to thrive in a fast-paced environment.
  • Critical thinker with keen attention to detail and adaptability.
  • Excellent written and verbal communication skills, along with superior listening skills.
  • Professional demeanor with a commitment to confidentiality.
  • Self-directed and able to work independently; proactive and enthusiastic about taking on new projects.
  • Comfortable in both leadership and team-player roles, with the ability to manage and lead when necessary.
  • Collaborative and eager to learn from others.
  • Valid driver's license and safe driving record preferred.
